App: Understand a task

How to understand the Task Tab on iOS and Android

Setup

You will need the following permission in your security group:

  • Can see all tasks.

  • Can update tasks.

  • Can create and update properties.

  • Can create and update appointments.

IOS: How to understand a task

Opening the task takes you to the Task tab, which includes four subtabs: Details, Timeline, Other Tasks, and Documents.

Details tab

Click On my way to begin Travelling time session and launch driving directions, then Start task to mark it In Progress, end Travelling session and begin Performing session.

Property and Client details (Map, Directions, Property Image, Property Name, Display Address, Client Name, Client’s Primary Contact, View property details)

  • Map: Displays the task location as a pin.

  • Directions: Click to open the geocoded address in a navigation app.

  • Property Image: The image of the property.

  • Property Name: The name of the property.

  • Display Address: The property's display address may differ from the geocoded location.

  • Client Name: The name of the client the property belongs to.

  • Client’s Primary Contact: The name of the primary contact set up on the client.

  • View property details: Learn more in View a property.

New properties may be missing a pin on the map or an image:

  • Click Set Directions, move the map to position the pin, then click Save.

  • Click the camera icon in the bottom-right corner of the house to upload a property image.

Task details (Category, Task Ref, Task Name, Task Description, Estimated Duration, Tolerance Date Range, Assigned to)

  • Category: Indicates the type of work — I&T for routine services of assets in the Work tab, Repair to resolve remarks using products in the Products tab, and Callout for identifying remarks on assets in the Work tab or using products in the Products tab.

  • Task Ref: A unique reference code assigned to each task.

  • Task Name: Summarizes the task’s purpose.

  • Task Description: Short description of the work.

  • Estimated Duration: Estimated time for the task to be performed.

  • Tolerance Date Range (I&T tasks only): The time frame in which the task must be performed to be within tolerance.

  • Assigned to: Which field user the task is assigned to.

Appointments (Add, Time, Notes, Technicians)

Scope of Works: Displays defect quote details (Repair), routine servicing (I&T), or information added by the office staff (Callout).

Requirements (site- specific Safety Requirements and Service Requirements)

Access (Schedule, Procedure, Code, Access Note)

  • Schedule: What the field user should do before attending the site.

  • Procedure: What the field user should do once arrive on site.

  • Code: Key code or key number.

  • Access Note: Extra details for gaining entry to the building, leave blank where possible.

Click Edit to update the task’s access details. Leave Copy these access details to the property ticked and click Save to apply them to all future tasks at this property.

Contacts (Name, Role, Organisation, Mobile, BH phone, Email)

Click Add Contact if none exist, or All Contacts to view all contacts, where each contact can be edited by clicking on it, or new ones added using the +.

Click the phone icon to choose either the Mobile or BH number — this opens your default calling app with the number pre-filled.

Authorisation (Name, Note, Date, Ref, Amount)

  • Amount: The pre-approved limit for charging additional costs to the client on this task.

Internal note: When editing, there are options to Update task only or Uptick task & property internal notes. Consider using timeline for a clear audit trail.

Extra fields: Added to a task to capture additional information not included in standard fields.

Timeline

Displays the task timeline, including events and notes. To view the property timeline, click View a property on the Details tab.

Enter a note in the box and click Post to add it to the timeline.

Click Hide Events to filter the timeline by notes only.

Other tasks

Displays other active tasks linked to this property.

Documents

Review any documents attached to the task or click Upload to add new images to be reviewed by the office staff.

Asset and remark photos should not be saved against Task documents.

ANDROID: How to understand a task

Opening the task takes you to the Task tab, which includes Task Information, Property, Appointments, Scope of Works, Requirements, Access, Contacts, Authorisation, Internal Note and Extra fields sections.

Click the play button and start the Travelling session.

Upon arrival, click the task status and set it to In progress to stop Travelling and start Performing sessions.

Task Information section

Task details (Task Ref, Category, Task Name, Task Description, Estimated Duration, Tolerance Date Range, Assigned to)

  • Task Ref: A unique reference code assigned to each task.

  • Category: Indicates the type of work — I&T for routine services of assets in the Work tab, Repair to resolve remarks using products in the Products tab, and Callout for identifying remarks on assets in the Work tab or using products in the Products tab.

  • Task Name: Summarizes the task’s purpose.

  • Task Description: Short description of the work.

  • Assigned to: Which field user the task is assigned to.

Timeline: Click to open the task timeline, which includes events and notes, then enter a note and click Post to add it, or use Hide Events to view notes only. To view the property timeline, click on the property to view it.

Documents: Click to review any documents attached to the task, then click Add Image to upload a photo to be reviewed by the office staff.

Other tasks: Click to review other active tasks linked to this property.

Property section

  • View property details: Learn more in View a property.

To set the pin location and upload the property image, click on the property to view it.

Appointments section

Add, Time, Notes, Technicians.

Scope of Works section

Defect quote details (Repair), routine servicing (I&T), or information added by the office staff (Callout).

Requirements section

Site-specific Safety Requirements and Service Requirements.
