Understanding how permissions and security groups work.

Overview

Permissions and security groups control the levels of access and functionality available to a user. By default, users belonging to the System administrator, Owner, or Manager security groups can configure permissions and security groups provided that the "Can configure security groups" permission is enabled.

Security group impact on license type

The impact of permissions in a security group will differ between user license types. Here's how permissions impact the user based on their license type:

Desk

Affected by all permissions except for those indicated for the mobile app.

Field

Affected only by permissions indicated for the mobile app.

Contractor

Affected only by permissions that impact the use of the contractor portal, including the ability to perform tasks, upload documents, and create assets.

Customer

Can only access the customer portal, for which there are no specific permission controls.

Security groups vs Permissions

In Uptick, permissions are set within security groups, and the level of access a user has is exclusively based on the security groups they belong to. This means you cannot set permissions for a single specific user, and instead control the permissions of the security group. You can assign multiple security groups to users without limitation.

How permissions are set

The tick boxes on each permission controls what users can/can't do. If the user belongs to just one security group, these permissions are absolute. However if the user belongs to multiple groups, then the user will have all permissions granted to them across all the security groups combined.

To grant/deny permissions for a whole category, you can click all/none. This option is also available at the very top of the permission list to grant/deny all permissions across every category.

Permissions for mobile users

Some permissions are applicable to mobile users, which are indicated with a mobile phone icon next to the permission.

Security groups

Your server has default security groups already set up but users can adjust the permissions within these groups to their needs, or otherwise create additional groups and assign them to users.

Edit existing security groups

  1. Go to Control Panel > Security Groups

  2. Click edit next to the security group

  3. You'll be taken to the security group, where you can set your desired permissions, then click Save Group to commit the changes.

Create custom security groups

  1. Go to Control Panel > Security Groups

  2. Click Create Group

  3. Type the name of the new group, then click Save Group

  4. You'll be taken to the new group, where you can set your desired permissions, then click Save Group to commit the changes.

Terminology

Permission categories

Most permission categories have names that are directly associated with what they control (i.e. permissions under the Clients category controls what users can do with clients in your server). For any categories that need further explanation, see the table below.

accounts

Controls what the user can do with user accounts on the server.

billing

Controls permissions with regards to billing, invoicing, and accounting partner connection.

issuance

Controls whether or not the user the ability to dispatch task related documentation.

notes

Controls whether or not users can create, update, or delete entries in the knowledge base.

quoting

Controls permissions pertaining to defect quotes only.

siteconfig

Controls access to the control panel, and insights and reports.

Permission glossary

Add/create

The ability to create or add a new item.

Change/update

Whether or not users can make changes or updates.

Configure

Whether or not users can alter settings.

Delete

Whether or not users can delete items.

View/see

Whether or not users can view or see an item.

Approve/unapprove

Whether or not users can approve or unapprove items .

Asset library

Relates to control panel configurations relating to asset types and assets.

Partner

Relates to the accounting partner.

NOTE: Partner permissions related to products, suppliers, and purchase orders are only applicable to Quickbooks.

List

Whether or not users can see the applicable listing page .
