How to understand the Task Tab on iOS and Android

Setup

You will need the following permission in your security group:

  • Can see all tasks.

  • Can update tasks.

  • Can create and update properties.

  • Can create and update appointments.

How to understand a task

Opening the task takes you to the Details tab, which includes the Timer, Task Information, Task Status, Timeline, Documents, Related Tasks, Keys & Equipment, Property Details, Contacts, Access Details, Overview of Task Description, Internal Notes, Extra Fields, Requirements & Appointments.

Click Start travel session & directions to start the timer for travel time

Upon arrival, click Start work to start recording on-site time.

To select another task session type, click Other and pick from the available options.

When on a task, press the square to stop the timer and End session & update status, Start a new session or Mark as performed.

You can also click on this to return to the task the timer is running for if you are on another task.

Task Information section

Task details (Property Photo, Property Address, Task Ref, Task Category, Favourite Star, Task Name, Task description, Estimated Duration, Tolerance Date Range, Task Status, Assigned to, Timeline, Documents, Related Tasks, Keys & Equipment)

  • Property Image: A photo of the property.

  • Property Address: The address of the property.

  • Task Ref: A unique reference code assigned to each task.

  • Task Category: Indicates the type of work — I&T for routine services of assets in the Inspections tab, Repair to resolve remarks using products in the Repairs tab, and Callout for identifying remarks on assets in the Inspections tab or using products in the Repairs tab.

  • Favourite Star: To mark a task as a favourite. These can be found on the Starred section of the Dashboard.

  • Task Name: Summarizes the task’s purpose.

  • Task Description: Short description of the work.

  • Estimated Duration: Estimated time for the task to be performed.

  • Tolerance Date Range (I&T tasks only): The time frame in which the task must be performed to be within tolerance.

  • Task Status: The status of the task.

  • Assigned to: Which field user(s) the task is assigned to.

Timeline: Click to open the task timeline, which includes events and notes, then enter a note and click Post to add it, or use Hide Events to view notes only. To view the property timeline, click on the property to view it.

Documents: Click to review any documents attached to the task, then click Add Image to upload a photo to be reviewed by the office staff.

Asset and remark photos should not be saved against Task documents.

Related tasks: Click to review other active tasks linked to this property.

There are two sections, Current Task and Related Tasks.

Keys & Equipment: Click to view any keys or equipment required for this task.

You can click Collect or Return as applicable.

Property section

Property details (Property Name, Property Display Address, Property Contacts, Property Access Details)

  • Property Name: The name of the property.

  • Property Display Name: The name of the property that helps your field team identify it.

  • Contacts: Property contacts (Name, Role, Organisation, Mobile, BH phone, Email).

Tap Contacts to view all contacts on the property.
Tap on the phone numbers to call or message.

Tap on the email address to send an email

  • Property Access Details: How to access the property. Schedule, Procedure, Code, Access Note.
    When editing, you can chose to copy access details to property to update this information on the property.

    • Schedule: What the field user should do before attending the site.

    • Procedure: What the field user should do once arrive on site.

    • Code: Key code or key number.

    • Access Note: Extra details for gaining entry to the building, leave blank where possible.

Tap to Edit to the task’s access details. Leave Copy these access details to the property ticked and click Save to apply them to all future tasks at this property.

Overview section

Description: The Scope of Works for the task. Defect quote details (Repair), routine servicing (I&T), or information added by the office staff (Callout).

Authorisated amount: The pre-approved limit for charging additional costs to the client on this task.

Authorised reference: The authorisation reference for this task.

Internal Notes: Tap to edit internal notes. Consider using timeline for a clear audit trail.

Task Extra Fields: Custom fields added to a task to capture additional information not included in standard fields.

Requirements section

Site-specific Safety Requirements and Service Requirements.

Appointments scheduled for this task will show here.
