March brings improvements to callout creation workflow, insights and reporting, consolidated invoicing and several other areas of the system.

Consolidated Invoicing for fixed billing

Release date: 8th April (or upon request by customers)

  • To support clients who want fixed billing invoices to be consolidated, you can now generate fixed billing tasks without invoices, allowing consolidation to occur at a later step.

We've fast-tracked several changes to you this month already.

  • Callouts.

    • We’ve taken on your feedback and made improvements to the new quick create for tasks:

      • The Primary Technician field has been added, supporting companies who have default on-call tech.

      • The Priority field has been added and Callout Fee has been made more prominent.

      • We’ve rearranged the fields depending on whether you come from a property or the task list, helping remove irrelevant fields and bringing required fields into the eye’s view.

    • We’ve added the quick create to the ‘create callout from asset’ workflow, bringing simplicity and consistency.

      You are also now forced to add the billable product on the create page, reducing the risk of this asset not being visible to field staff:

  • You can now create tasks straight from a remark so that the remark can be referenced and resolved in the repair.

  • Insights and Reporting Dashboards.

    • We've launched our 3rd iteration of the Programme Maintenance dashboard. If you haven't looked recently, please check it out and give us your feedback. We'll continue making improvements over the next two releases, eventually adding configurable benchmarks.

    • We've added a first draft of a KPI Dashboard. This will let you set configurable KPIs to measure the performance of your business and branches. We'll continue to improve this dashboard throughout the year.

    • We've launched a 2nd iteration of the Workforce Performance dashboard, improving page load times. We'll be launching the 3rd iteration of this dashboard next month which will provide more visibility and insights on technician performance.

    • All of the legacy dashboards have finally been removed.

    • The programme maintenance line chart on the home page has been replaced with something more helpful - a breakdown of your tasks by service group to help you better understand the relative progress of each service group.

    • Branch and Property will now be set on parent tasks if all children are of the same property or branch.

    • We fixed a bug where child task tracking-categories weren’t being considered on the parent invoice.

  • Routine task generation. We fixed routines getting stuck in Processing when staff try to generate already generated routines or an error occurs during task generation.

  • Scheduling tasks.

    • You can now set up a property so that a single technician is assigned to all the routine maintenance produced from that property. If a default technician is set up with no service group, it will assign itself to not only routine tasks without service groups, but also ones with service groups that have no default technician. For example, Mads will be assigned to any routine tasks that don’t have the Egress Servicing service group:

    • To support schedulers dealing with multiple timezones, when creating & updating an appointment you can now see timezone information for any tech or property that differs from yours.

    • We’ve fixed the appointment scheduler so categories can be cleared after saving and appointment notifications aren’t sent to inactive property contacts.

    • To reduce unnecessary errors, the data importer will now ignore empty rows on your spreadsheets.

    • We’ve added more fields so you can import more data in bulk:

      • Added accounting organisation to the billing card importer

      • Added internal note to the product importer

      • Added account manager to the property importer

      • Added products and account code to the invoice line item importer

    • To help our auditors who use the contractor audit module, we’ve added the ability to bulk importer service levels to asset types.

  • Contractor Portal. We’ve added a few optional controls that force required actions, signatures and/or completion notes to be added before contractors can complete a task and move it into ‘Contractor Review’. Go to Control Panel > Contractor Portal to switch them on.

  • Suppliers. You can now find suppliers in the supplier list by typing their ABN.

  • Defect quotes. We’ve fixed the create a repair task on mobiles using Safari.
