October brought some improvements to Service Quotes, Dashboards, Stock, and our Sage 50 integration.

Service quotes

Now live

  • The Sales Person on a service quote will be notified by email if their quote has been approved or declined online. We recommend setting the Sales Person if you also wish to track commissions or performance on the new Service Quoting Dashboard. The Service Quote Notifications Email (set under Control Panel > Service Quoting) will also receive any online submissions.

  • Terms and Conditions can now be set up in your control panel. These should be used to set your base T&Cs which rarely change. Any additional T&Cs can be added to individual service quotes as required.
    Customers who currently apply per quote snippets for their T&Cs can continue to do so if preferred. If you wish to use this new configuration, you will need to make a change request to the support team.

  • We’ve built a more informative, customisable reminder email for service quotes which can be sent manually via the individual service quote or in bulk, via the service quote list’s bulk edit. The Sales Person will be the recipient of any replies if set.

Coming soon

  • 11th of November: To align with defect quotes, and ensure outdated quotes aren’t left unaddressed, setting the expiry date will be mandatory after the 11th. We’ve also added an EXPIRED status, which will automatically apply after the expiry date, or otherwise can be manually set via the status drop-down.

IMPORTANT: All current submitted quotes with an expiry date set in the past will automatically be moved to EXPIRED on the 12th. Before this date, review and change any expiry dates to avoid unexpected status changes.

  • 18th of November: We are making big changes to how you send service quotes in Uptick, helping you personalise your communication per quote with prospects and clients. We will be adding a step to your workflow which lets you preview and customise the message & its recipients before hitting send. During this step, you'll be able to select any additional documents you want to attach, removing the need to send your quotes externally. All correspondence sent via this workflow will be tracked against the service quote for later reference.

  • We’ve also locked in some other improvements to the maintenance proposal workflow which can be viewed on our public roadmap.

Dashboards

The financial performance dashboard offers clear analytics on a business's financial status, using data from completed and archived tasks. It helps owners and accounting staff track long-term revenue trends, profitability, seasonal revenue patterns, and the composition of revenue and costs over time. The dashboard also allows comparisons with the previous year’s data.

The client profitability dashboard offers insights into the performance of clients and client groups. It helps business owners and accounting staff analyse revenue, costs, profit, margin, and identify top clients and their primary sectors.

Stock & warehousing

  • We’ve implemented a few controls around consuming stock this month, a needed addition to keep your tasks aligned with your stock levels.

    • Once a stocked material has been performed, thereby consumed on that task, the product, quantity, technician & FIFO cost price will be locked from editing. Sell price, description and asset can still be adjusted.

    • Matching mobile app functionality, it’s now required to set a technician before performing any stocked materials on the Work tab of a task. This ensures stock is being consumed from the correct warehouse once it’s performed.

    • Given the change above, users with a contractor license can now be set as the ‘technician’ when performing any items on the Work tab via the office. Their portal will automatically assign them if they wish to perform work from there.

    • Stock will not be consumed from any warehouses if performed by a contractor, as the system assumes contractors will use their own stock. Eventual improvements will be made so the office can control when to consume stock in this workflow.

    • To provide more control in terms of who can stock a product in a warehouse, you can no longer add a new product to a warehouse via the Add Stock button unless it's already configured to be Stocked.

  • We’ve fixed a problem causing the warehouse CSV download to export all products, instead of the ones you’ve filtered for.

SLAs

  • When creating tasks, only that client’s SLA options will now be available to select. Contact support to help you set up client-specific SLAs.

  • We’ve fixed a problem where the timezone was not being considered when setting SLAs on a task, causing the time to be incorrect if the property timezone didn't match the user configuring the SLA.

Invoices

  • We’ve added client & property tags as a filter to the invoice list to help support debt chasing.

Contractors

  • Contractors can now perform and be set on any items on the Work tab of a task.

Sage 50

  • You can now push billing cards and suppliers from Uptick into Sage 50.
