Add routine to a property

Set up and manage scheduled maintenance and inspection: routines with levels/frequency on a site

Setup

You will need the following permission in your security group:

  • Can view property list page.

  • Can view property.

  • Can create and update properties.

  • Use the bulk-importer.

How to ADD routines and levels to a property

1. Navigate to Customer Data > Properties and View the property.

2. Go to the Routines tab.

3. Click Manage routine services and then + Add Routine Servicing in the popup window.

4. Provide Annual date (the day of last annual test or Start date if unknown) and Start date (when to begin generating tasks).

Only provide an End date if the routine should be automatically deactivated on that date.

5. Select a routine type by checking the box, using the Type to filter routine types or Filter by standard fields to narrow the list. Then, select or deselect service levels to be enabled.

When selecting a routine type, some service levels are automatically selected based on the Default enabled field for that routine service level type.

6. Click Create routine service schedules.


How to REMOVE routines and levels from a property

1. Navigate to Customer Data > Properties and View the property.

2. Go to the Routines tab.

3. Click Manage routine services.

Routine

4. Open the Actions dropdown and click Remove.

Level

4. Click on the level and select Disable [X] Level.


How to UPDATE routines and levels on a property

1. Navigate to Customer Data > Properties and View the property.

2. Go to the Routines tab.

3. Click Manage routine services.

Routine

4. Open the Actions dropdown and click Edit.

5 Change the Annual date, Start date, End date, Subcontractor, Service group or Output fields and click Save.

Level

4. Click on the level and select Edit [X] Level.

5. Change the Subcontractor, Subcontractor Price (ex Tax), Service group, Estimated Duration or Asset Based Servicing fields and click Save.


How to create Routine Services via Uptick CSV Importer

2. Complete the spreadsheet, adding or removing optional columns as needed. Save it as a Comma-separated values (CSV) file, the only format supported by the Importer.

Service Group

Create Default Levels

Field description:

Property reference.

Tip: Download the properties as a CSV file to copy the reference.

Must match exactly the name of the routine service type in the workspace (Control Panel > Routines)

Date of the last Annual service for this routine type at the property.

Format: YYYY-MM-DD.

Start date for generating tasks in Uptick for this routine.

Format: YYYY-MM-DD.

Provide the name of existing Service Group.

If left BLANK, routine is imported without any Service Group.

- TRUE – Creates levels for routine service level type when the Default enabled field is ticked.

- FALSE - No levels are enabled, enable the levels on the property.
