Set up logbooks

How to create logbook types, view the logbooks on the task and on the property and manage logbook entries

Setup

You will need the Logbooks module turned on in your workspace. If you do not see this in your main menu, reach out to [email protected].

You will also need the following permissions in your security group:

  • Can change site configuration settings.

  • Can see all tasks.

  • Can view property list page.

  • Can view property.

  • Upload documents.

Logbooks help organise photos of physical logbooks captured by field users onsite, which are displayed in service reports and on the task in the Customer Portal.

How to manage logbook types

1. Navigate to Control Panel > Logbooks.

2. Click + Create to add a new logbook type, or select Edit to manage an existing one.

3. Provide the Name and optionally enter the Code and Description (not inherited by the logbooks on the property), then click Save Logbook Type.


How to view a logbook

From the task

1. Navigate to Tasks and view the task.

2. In the Process section, click the hyperlinked number listed against the Logbook entries to open the associated property logbook.

From the property

1. Navigate to Customer Data > Properties and View the property.

2. Go to the Reports tab and click View logbooks.

Logbooks are usually added by the field users when finalising a task, but can also be added via the web. Click + Add logbook to site, select the Type, and optionally provide a Label, Barcode, Location, or Description. Then click Save Logbook.

3. View the logbook.


How to add or edit a logbook entry

1. Open the logbook, then click Add logbook entry to create a new one or Edit to update an existing entry.

2. Complete the Service date (optionally provide Notes or link to an existing Task), then click Save.

3. Click + Add image, upload the photo and click Done.
