Create and manage a price book

How to manage custom pricing for products and rates by creating, updating, and assigning price books to clients or propertie

Setup

You will need the Pricing tiers module turned on in your workspace. If you do not see this in your main menu, reach out to [email protected].

You will also need the following permissions in your security group:

  • Can view product list and detail page.

  • Can view pricing information.

  • Can add price tier.

  • Can change price tier.

  • Can view clients.

  • Can change, archive clients and client contacts.

  • Can view property list page.

  • Can view property.

  • Can view invoices and credit notes.

  • Can create and update properties.

For cases where special pricing applies, such as client-specific agreements, promotions, or regional deals, a price book (price tier) can be created and applied at the client or property level. Apply the price book to the client or an individual property to be passed down to the tasks.

How to create a pricebook

1. Navigate to Billing > Product catalogue and click Price books.

2. Click + Create Pricebook.

3. Provide Name and click Save Pricebook.

4. On the Price Book editing page, click through the Materials, Labour, Equipment, Subcontracted and Expense tabs to view the relevant products and enter a unit price.

5. Once complete, scroll to the bottom of the page and click Save price tier.


How to rename a pricebook

1. Navigate to Billing > Product catalogue and click Price books.

2. View a Pricebook.

3. Click Update when viewing the Pricebook.

4. Then click Update again on the Pricebook editing page.

5. Change the Name, then Save Pricebook.


How to update prices in the pricebook

1. Navigate to Billing > Product catalogue and click Price books.

2. View a Pricebook.

3. Click through the Materials, Labour, Equipment, Subcontracted and Expense tabs to view the relevant products and change/enter a unit price.

4. Once complete, scroll to the bottom of the page and click Save price tier.

  • Update prices for the pricebook in bulk by clicking Download CSV when viewing the pricebook and using Uptick CSV Data Importer.

  • To update the price of an individual product or rate across multiple price books simultaneously, edit the product or rate directly.


How to attach the pricebook to a client or property

By default, all clients and properties will use the Default price book.

Client

1. Click Change on the Pricing field when viewing the client.

2. Select the existing pricebook from the list and click Save Client.

All properties under this client will now inherit the assigned pricing structure, unless a different price tier is added to an individual property.

Property

1. View the Billing tab on the property and click Customise Pricing in the Property billing requirements section.

2. Select the existing pricebook from the list and click Save.
