Add asset to a property

How to record and edit equipment/asset against a property with key details like type, variant, location, barcode, and base date

Setup

You will need the following permissions in your security group:

  • Can view property list page.

  • Can view property.

  • Can create assets.

  • Can update and archive assets.

  • Use the bulk-importer.

How to add an asset

  1. Navigate to Customer Data > Properties and View a property.

  2. Go to the Assets tab and click + Create Asset.

  3. Select the Type and complete the fields on the form. Use the Set… links to add any optional details, then click Create — or Create and add another to keep adding assets.

  • The Base Date (under Set base or installation date) is the start of the asset-based/major servicing period. For example, a portable extinguisher with a base date of 1 March 2023 is due for a five-yearly pressure test in March 2028.

  • Use commas in the Location field (e.g. "Building 2B, Floor 6, Unit 3") so field users can search assets by place: Building 2B; Building 2B, Floor 6; or Building 2B, Floor 6, Unit 3.

Fields on the create form

  • Type (required): Select the asset type from the dropdown.

  • Variant: Select the variant. This is usually included in the auto-generated label based on the asset type's Label pattern.

  • Components: Select any components that make up the asset.

  • Site ref: A reference written on the asset to help the technician locate it. Enter '02' rather than '2' to keep assets in order.

  • Overwrite label: Leave blank to auto-generate the label from the asset type's Label pattern, or enter a value to override it.

  • Location: The location of the asset. Use commas to build a location hierarchy.

  • Set tags: Group assets and set up partial servicing. Tags are created in Control Panel > Asset Types.

  • Set subcontractor details: Assign a Contractor to service the asset (defaults to the Default Contractor representing your company), with an optional contractor note (included in contractor correspondence) and contractor ref (internal only).

  • Set serial or barcode: Record the Serial (an external inspection reference, such as a fire door certification tag) and the Barcode or QR code.

  • Set base or installation date: Set the Base Date for major servicing calculations and the Installation date used for lifecycle maintenance reporting.

  • Set make, model or size: Record the make, model and size of the asset.

  • Overwrite replacement product: Set a replacement product for this asset, overriding the default from the asset type or variant.

  • Set walk order: Set the inspection order in which the asset is serviced.

  • Set customer portal visibility: Mark the asset as Silent to hide it on the Customer Portal and allow it to be hidden on customer reports.

  • Set internal note: Add a note for internal communication or reference.

The Standards of Maintenance, Installation and Performance default from the asset type and are mainly used for Essential Safety Measures. You can change these, along with fields such as Active, Quantity and Internal Reference, when editing the asset.

How to update an asset

  1. Navigate to Customer Data > Properties and View a property.

  2. Go to the Assets tab and click Edit on an asset.

  3. Update any available fields — including ones not shown on the create form, such as Active, Quantity, Internal Reference and the applicable standards — then click Save.


How to create assets via the Uptick CSV Importer

2. Complete the spreadsheet, adding or removing optional columns as needed. Save it as a Comma-separated values (CSV) file, the only format supported by the Importer.
