How to manage Accreditations

Manage accreditation types, and add accreditations for your field team.

The Accreditations extension helps you manage employee and contractor accreditation expiry dates and alerts you when assigning unaccredited individuals to tasks, ensuring better allocation. This includes accreditations like police checks, first aid, CFSP registration, and plumber licenses.

Setup

You will need the following permission in your security group:

  • Can create, update and delete accreditations

You will also need to set up Accreditation Types in your Control Panel. Contact your system administrator if you don't have the permissions to do this.


Create accreditation types

1. Go to your Control Panel > Accreditations

2. Click Create

3. Select a Category

You can select from the following types:

  • Competency

  • License, Certification or Clearance

  • Induction

4. Add a Name

For example Police Check and Working with Children Check, Working at Heights Permit, first aid, CFSP registration, licenses etc.
Some of these are already part of your default workspace.

5. Tick Property Specific if your accreditation type only applies to a specific site.

When adding a property-specific accreditation to a user, make sure you specify the exact property to ensure the user can complete tasks for this property on the app.


Add an accreditation to a user or contractor user

1. Go to People > Accreditations > + Add Accreditation

2. Select your Accreditation Type and Technician

This list contains the accreditation types added in your control panel. To add an Accreditation Type, follow these steps.

Accreditations can be created for Desk, Field or Contractor Licenses.

3. Add a Property, Expiry and Number if available

Adding an Expiry Date allows you to easily see whose accreditations are expiring soon in Uptick.

If your accreditation is property specific, please add an accreditation for each property the accreditation applies to.

4. Click Create or Create and add another

Click View to upload documents against each accreditation to keep documents and records to be managed in one place


How to manage expiring Accreditations

1. Go to People > Accreditations

2. Set up a favourite to manage expiring accreditations. This can be added as a favourite on your dashboard.

Select the Status of Expiring and save a Favourite


Set accreditation requirements on clients and properties

You can set accreditation requirements on clients, properties or asset types. See the table below on how to set these up.

Clients

Note: All of the Client's properties will inherit the Accreditation requirement.

Required accreditations can be applied by going to People > Clients > Click View on the client you want to edit.
Navigate to the Requirements tab, then click Update under the Accreditations section to add accrediatoins.

Properties

Required accreditations can be applied after the property is created, via the Accreditations tab underneath the property's front photo.

Navigate to Customer Data > Properties > View the property

Select Update accreditation requirements to add these.

When viewing this tab, you will also see the inherited client required accreditations too. This will allow you to easily see the requirements of each property.

Asset Types

This can be done using the data importer by exporting the assets/ESMs and updating the accreditation against their ID numbers. Click here to learn more about using the importer to update existing data.


How to view accreditation requirements as a contractor

When a contractor is viewing the Contractor Portal, any missing accreditations for a subcontractor tech are shown to them when they are assigning a task, making it easier to assign the task to the right person:
