Complete a service quote

Close once-off install/project/minor works service quote or maintenance proposals after it is approved

Setup

You will need the following permissions in your security group:

  • Can create, update and delete service quotes.

  • Can view pricing information.

  • Can create and update billing contracts.

A service quote is automatically set to Approved status when confirmed via approval link, but it can also be marked as approved manually. Once in "Approved" status, access to the Completion Information section becomes available, allowing users to proceed with creating Routines or Billing Contracts.

How to complete a service quote

1. Open the service quote, work through the Completion Information Section and create objects as required.

1a. Click + Create under Property. Once created, the property name will appear as a hyperlink.

1b. Click + Create under Routines, provide Annual Date and Start Date, and click Create.

If there are no line items for Included fixed routines or Included Do and Charge routines, the relevant contract + Create button will be greyed out. Similarly, ensure that routine service line items are present and adequately populated in the quote to enable the creation buttons.

1c. Click + Create under Contracts (Fixed) to open the fixed billing contract page. Fill in the remaining details, then select Create Billing Contract.

1d. Click + Create under Contract (Do & Charge) to open the do & charge billing contract page. Fill in the remaining details, then select Create Billing Contract.

1e. Click + Create under Task, fill in the details and click Create.

1f. Click + Create under Project, fill in the details and click Create.

2. Once all applicable steps are completed, click the arrow next to Approved status and transition to Complete status close it out. Before transitioning, double-check that all required line items are populated and the quote status is correct to avoid issues in advancing workflows.


Actions After a Quote is Voided

Once a service quote has been voided, it acts as if it has been deleted. Consequently, no further actions can be performed such as creating new tasks or selecting/modifying line items. Should you wish to use a quote that has been voided, you must duplicate and then continue works on the duplicated version. The original cannot be un-voided.

Important Consideration:

  • Existing tasks tied to the quote, especially those with Purchase Order history, will remain intact to preserve historical accuracy. However, no new actions can be initiated from the voided quote.
