Prompt questions:
Are visible on the default Service Report (Prompts).
Can be answered ONLY on the app, but reviewed in the Work tab of the task on the web.
Can be customised.
Allow previous service results of the service to be copied on the app.

How to create a prompt set
1. Navigate to Control Panel > Prompts and click + Create.

Ref: Set a reference number.
Name: Provide a name.
Standards: Select the applicable standards from the dropdown, ensuring they match the standards assigned to the routine service types selected below.
Asset types: Select the applicable asset types from the dropdown, ensuring they are maintained by the routine service types selected below.
Routine service types: Select the applicable routine service types from the dropdown, ensuring they align with the asset types and standards selected above.

How to add a prompt question to the prompt set
1. Navigate to Control Panel > Prompts and View the prompt set.

Active: Check the box to mark the prompt question as active and display it during asset servicing.
Label: This is the main question field user must answer.
Optional (Type, Ref, Help text, Remark types, Limit to variants, Limit to routine service level types, Choices, Required)

Type: Select from the following types
Assertion: If the result is marked as Fail, the field user must provide a reason as free text.
Remark: If the result is marked as Fail, the field user is required to attach the prompt question to an existing remark or create a new one.
Text: Answer the prompt question using free text.
Integer: Answer the prompt question using a whole number.
Decimal: Answer the prompt question using a decimal number.
Date: Answer the prompt question using a calendar date.
Choice: Answer the prompt question by selecting an option configured in the Choices column.
Multiple Choice: Answer the prompt question by selecting options configured in the Choices column.
Header: Used to insert an informational title within the prompt set, making it easier for field users to navigate through the questions. No answer is collected.
Ref: Add the standard’s reference or any other relevant reference, which will appear on the service report.
Help text: Any extra information that appears in the app when the question is clicked. The help text does not display for Header-type questions.
Remark types: Select the remark types that field users can choose when failing this prompt question. If left blank, all remark types will be available.
Limit to variants: Select the asset variants this question applies to, such as Diesel, but not Electrical pumps. If left blank, it will apply to all variants of the asset type.
Limit to routine service level types: If left blank, the prompt question will apply to all routine service level types matching the selected frequency. For example, if Y is ticked and the routine service level types include Annual Valve Inspection and Annual Survey, the prompt will appear for all. Otherwise, select the specific routine service level types it should apply to.
Choices: If the question type is Choice or Multiple Choice, open this cell to add the options for field users to choose from.
Required: Check this box to prevent field users from proceeding to the next asset until the prompt question is answered.
How to edit a prompt question
Editing an existing prompt question's key information may cause conflicts when syncing app data on in-progress tasks. To avoid errors, create a new prompt question and
mark the old one as inactive by viewing the prompt set and clicking Update/ Then, uncheck the Active box, scroll down to the bottom, and click Save changes.

How to set the servicing frequency for a prompt question
Since multiple service level types can share a frequency (e.g., Annual Survey and Annual Flow Test are both annual), the checkboxes apply to the overall frequency, not individual level types. To target specific routine service level types, use the Limit to routine service level types when adding a prompt question.

2. Scroll to the right to view all selected standards, which appear side by side in the same table, and tick the frequencies the prompt question should apply to, from Weekly (W) up to 32-Yearly (32Y).

If the frequency of the routine service level type is not included in the available options, it will not be supported by the prompts (7-yearly).
