How to schedule a task and notify the client

Setup

You will need the following permission in your security group:

  • Can see all tasks.

  • Can create and update appointments.

How to create an appointment for a task for a Field or Contractor App user

1. Navigate to Scheduler.

2. To view a field or contractor app users' calendar, click the Users icon, select Users and click Update Technicians. In addition, enable Also show contractors to include Contractor App users.

If scheduling an appointment for a single task, open the task and click Schedule to access the scheduler with the list pre-filtered for the task.

3. Use filters or search to locate a task, then drag it onto the technician’s calendar on a specific day.

4. Set the start and end time using the fields or adjust by dragging/resizing the appointment tile, then click Create Appointment.


How to send notifications for upcoming appointments

1. Navigate to Scheduler and click Send Notifications.

2. Select the appointments, then click Edit [X] Appointments.

3. Choose the Default email template in the Send to Property Contacts and/or Send to Clients dropdowns, then click Apply Changes.

  • Send to Clients: The client's primary contact receives the email.

  • Send to Property Contacts: Only property contacts with Requires Notification enabled receive the email.
