Setup

To assign or update users on tasks, you will need the following permission in your security group: can update tasks. Learn more about permissions and security groups.

Overview of Technician Allocation Processes

Uptick provides several methods for managing task assignments, including updating individual tasks, reassigning default allocations, and managing schedules via the Scheduler or Geo-allocator.


How to Assign a User or a Contractor to a Task (Individual)

You can assign users and contractors directly from the task page using the Assignment tile.

Method 1: Using the Assignment Tile

  1. Open the task and click UPDATE in the Assignment tile.

  2. Select the appropriate users for the following roles:

    • Primary technician

    • Supporting technician

    • Office assignee

  3. Click Save.

Method 2: Using Shortcut Buttons

You can use the shortcut buttons for quick assignment of the Primary Technician or Contractor.

Assigning a Technician

  1. Click the Assign technician shortcut button.

  2. In the Assign Technician window, select a technician and click Assign.

    • You can search by name or filter by branch or service group.

Assigning a Contractor

  1. Click the Assign contractor shortcut button.

  2. In the Assign Contractor window, select a contractor and click Assign.

    • You can search by name or filter by category, skillset, tags, or service area.


Understanding the Zone and Branch Filters

When you use the Assign Contractor or Assign Technician pop-up windows, the system automatically applies filters based on the task and property location.

How the automatic filtering works:

  • The pop-up automatically populates the Zone and Branch filter fields by retrieving values from the task and property.

  • This process filters the list to display only those contractors and technicians whose user profiles match the specified zone and branch.

Why the list may be empty:

If you do not see any technicians or contractors available for selection, it is because their user profile does not match the zones or branches automatically applied by the filter.

How to see all available technicians and contractors:

If you need to select a user who is not assigned to the property's default zone or branch, you can remove the automatic filters:

  1. Click the X next to the Zone or Branch filter field to clear the value.

  2. The list will refresh, enabling you to select from all available contractors and technicians in your workspace.

πŸ’‘ Tip: If you frequently need to assign work outside of designated zones or branches, consider reviewing and updating your user profiles to include the appropriate zones and branches. Learn more about Zones and Branches.


How to Assign a User or a Contractor Using Bulk Edit

Bulk editing is the fastest way to assign the same user or contractor to multiple tasks at once.

  1. Open the Tasks page and select the tasks for assignment.

  2. Click Edit X Tasks.

  3. Scroll down and select the user in the relevant dropdown:

    • Assigned (Technician)

    • Add Supporting Technician

    • Assigned (Office)

    • Assigned (Contractor)

  4. When selected, click Apply Changes.

Clearing Assignments in Bulk

You can also clear assignments using the bulk edit feature:

  • Clear Assigned Technician is available via the Assigned (Technician) dropdown.

  • Clear Assigned (Office) is available via the Assigned (Office) dropdown.

  • Clear Assigned (Contractor) is available via the Assigned (Contractor) dropdown.

  • Unassign a specific supporting technician via Remove Supporting Technician.


How to Assign a User to a Task via Geo-allocator (Primary and Support Technician Only)

The Geo-allocator allows you to assign tasks based on geographic location.

  1. Open the Tasks page and click Geo-allocator.

  2. Use the filters on the right (e.g., Category, Branch, Zone) to refine the list of visible tasks.

  3. Using the Selector widget, place pins on the map to select the tasks you want to assign. Double-click on the last pin to secure the shape.

  4. Selected tasks will appear in the 2. Select tasks from map section below the filters.

  5. Select Primary technician and/or Supporting technician in the dropdown and click Assign.


How to Update a User Assigned to a Task via the Scheduler (Primary and Support Technician Only)

The Scheduler is used for assigning and scheduling internal staff (Primary and Supporting technicians).

  1. Open the Scheduler.

  2. Select a Task to schedule or an Appointment.

To update a Primary Tech

  1. Choose your Primary tech under Technicians.

  2. Click Change task technicians... to update your Primary Tech.

To update your Supporting Techs

  1. Click Change task technicians... to update your Supporting Techs.
