In a first-of-its-kind-design, you can now use the Uptick app to digitally place assets on a site floorplan to not only reduce the time it usually takes to locate assets throughout entire buildings and across multiple floors, but to also provide greater visualization and understanding to customers with a representation of their assets on a geospatial map on their Customer Portal.
Geospatial Floorplans is a no fuss process that combines your publicly available data, detailed service history or a verified mapping partner like Locatrix to create a beautiful, accurate floorplan for all of your assets to your Customers.
“Uptick launched our Floorplans module in early 2020 because of our total commitment to maximising technician efficiency. The margins on I&T are razor thin, and we believed that we could save a substantial amount of technician time on site with this innovative feature."
...and now Geospatial Floorplans are available to everyone!
Key Benefits:
Save time on the field: increase efficiencies and reduce the time it usually takes to locate assets like fire extinguishers or emergency lights throughout entire buildings, across multiple floors.
Fast for technicians to get started: Automatically create a ground floor map from Google Maps, or from a photo of the evacuation plan, or upload a pre-existing image or PDF.
Increase customer insights: Provide greater visualisation and understanding to customers with a visual representation of their assets on a geospatial map.
Setup
Once enabled by the support team and the 'Can Change Floorplan' permissions are applied to those that can upload floorplans, you can find the geospatial floorplan functionality within the following areas of the system:
1. On the app, tap the Plans button on the Work or Products tab of any task.
NOTE: To create assets from the floorplan, this feature will only show up if the property has routines. If you want to be able to create assets on properties that have no routines, go to View all assets onsite from the Work tab and then tap Plans at the top of the screen.
2. On the Web, a Floor Plans button under the Asset's tab on each Property.
3. If a floorplan is uploaded to a certain property, that floorplan and any placed assets will appear in that Property's view on the Customer Portal.
Setting up Asset type Icons (optional):
Select an icon against asset types so they can be displayed more clearly on a floorplan. If this isn't done, then all your assets will instead appear as red (Non-compliant), green (Compliant) or grey (Not Tested) dots which simply represent the compliance of that asset.
Uptick allows you to select many distinguishable icons for asset types by taking the following steps:
1. Go to Control Panel > Asset Types and Edit the Asset Type you wish to add an icon against.
2. Click Set Advanced and select a Floorplan Icon from the options.
How to Use
You can upload a floorplan to a property either via the Web or the App depending on if you have the Can Change Floorplan permission. The floorplan needs to be uploaded either in an image or PDF format. The floorplan you upload can be as simple as a Google Map image,
a picture of the evacuation diagram onsite,
or a supplied floorplan of the building.
Several floorplans can be uploaded on a property meaning each level and/or building can have a floorplan. The multi-level visualiser makes it easy to see the floor plan for each level, and the Add Level + button simplifies the process of adding additional levels.
App Functionality
Uploading a Floorplan
Note: Updating an already uploaded floorplan to a new floorplan image can only be done via the Web.
1. Open a task and click into the Work tab of that task. Click the PLANS button.
2. You have three options when uploading a floorplan here, you can either pick an image from your device's Photo Gallery, take a new picture, or click the Map option which will allow you to smartly select the Google Map image of the property:
Note: Some properties don't have a Google map image available.
3. Click Save, Next and then Next again to start placing the beacons on the plan so that you can define the corners of the building.
This will allow the system to understand the building's position on the image so that if you need to update the floorplan later, the placed assets will not move around as the beacons will allow us to understand where the assets live on the image relative to the old image. It doesn't matter which building corners you place the beacons, just so long as the replacement floorplan later down the track has the beacons placed in the same corners.
4. Click Next, add the Floorplan's name (i.e. Ground Floor, Building A) and Save.
Once you click Save, you'll be taken to the screen which allows you to add new or previously created assets to the Floorplan.
If you'd like to upload more Floorplans or change the Floorplan you are currently viewing if you have multiple, simply click the Floorplan name at the top of the screen.
Creating new or placing existing assets on the Floorplan
1. Once you're on the Work tab of the task, click PLANS. This view is the view that allows you to add new or previously created assets to the Floorplan.
To add a new asset, you have two options:
i) Place your finger somewhere on the floorplan in the spot you wish to add a new asset and hold for a few seconds. Click Create Asset once it pops up.
ii) Click Create Asset and then hold the dropped pin for a few seconds and drag until it's in the correct location, then click Create Asset.
b) Once you do either of the above, you'll be given the option to either add a New Asset which will take you to the normal create asset screen, or to Duplicate Existing Asset which will take you to a view that allows you to select the asset you want to duplicate.
c) Once the asset is filled in and saved, you'll be taken back to the floorplan to continue adding assets.
To place an asset on the floorplan that has already been created on this property, simply click Arrange Assets' > 'Place Existing Asset and pick an asset from the list that pops up. The assets here are only assets that are currently being serviced on this task and that aren't already placed on the plan. Once you've picked an asset from the list, click, hold and drag the pin on the plan until it's in the right spot and Save.
To edit the spot in which you've placed an asset on the floorplan, click Arrange Assets again, then click, hold and drag the pin on the plan until it's in the right spot and Save.
Note: Uploading floorplans and adding or placing assets on a Floorplan is slightly different on an iPad compared to an iPhone. Here's a video to help guide you through what the iPad process would be.
Servicing Assets on the Floorplan
Think of the app having two views in order to service assets on a task - you either have the list view, which you are all familiar with, or the floorplan view. The size and type of the property will dictate the time you'll save when servicing from the floorplan view, but either way, finding assets onsite via a floorplan will drastically improve the ability to locate assets quickly. You also might like the look and feel of servicing from a floorplan instead of a list view and as a company, would like to change to using floorplans for most or all of your new or existing sites.
1. Once on the Work (or Products) tab of your task, click PLANS.
2. You can pick which floorplan you'd like to see and service first by clicking the floorplan name at the top of the screen. You can also add more floorplans if you need to by clicking the same button. When selecting the floorplan you'd like to see, there will be a number counter next to the floorplan name which will tell you how many unserviced assets are still on this floorplan. The below Ground Floor plan shows one for example.
3. Once you've picked your floorplan, you can start clicking into each asset and either quick service them or click into the pop up to edit and add remarks.
If you can't find the assets you are looking for, you have the option to scan the asset's barcode or search for the asset using the buttons on the top, right. This will locate the asset on the map once found.
We also have the ability to filter the floorplan down so you only see certain asset types on the floorplan by clicking 'Asset Types'.
FEATURE GETTING SCOPED CURRENTLY: The ability to geolocate where you are on the floorplan in real time as you are walking around the building.
Web Functionality
Uploading a new Floorplan and replacing an existing Floorplan
1. On the Assets tab of a Property, click Floor Plans > Add Plan
2. Provide a name for this plan i.e Ground Floor or Building A and click 'Create'.
3. The next page allows you to upload an image or PDF - upload floorplan.
4. Once you've uploaded a floorplan, you'll need to scroll to the bottom and move the beacons to the defining corners of the building.
4. Once the beacons are placed, save the Floorplan.
To edit the beacons or change the uploaded floorplan image, simply click 'edit' when viewing the floorplan image on the Floor Plans tab on the Property.
Placing existing assets on a Floorplan
Via the Web, you only have the option to place existing assets already created on the property. You also can't service assets here.
Note: As mentioned, assets that have been ticked and identified as ESMs in the system cannot be placed on a Geospatial Floorplan in Uptick due to an ESM not being a physical asset that can be located.
1. On the Floor Plans tab on the property, make sure you select the relevant floorplan.
2. On the left hand side, you'll see your asset registry. If you click the 'Not Placed' button you'll be given a list of all your assets not placed on a floorplan yet. Simply click and then click and drag the asset to the floorplan on the right.
If you need to change the location of the assets you've placed, simply click, hold and drag the asset on the floorplan. If you need to delete the asset from the floorplan, simply click, hold and drag the asset into the bin image that appears on the top, right of the floorplan.
