Troubleshooting Asset Records

Resolve common asset record issues in Uptick — including assets missing from tasks, bulk import errors, transfer problems, prompt questions, and archived asset management.

This article covers the most common asset record issues encountered in Uptick and how to resolve them.


Asset Not Appearing on a Routine Task

If an asset is not showing up on a routine task, the most common causes are:

  • Asset type not attached for the routine: An asset will only appear on a routine task if its asset type is set up to be serviced by that routine. Go to Control Panel > Asset Types, find the relevant asset type, click Edit, and check the Applicable Routines field.

  • Asset is inactive: Inactive assets are excluded from routine tasks. Navigate to the property, click Assets, locate the asset and edit. Ensure the Active checkbox is ticked.

  • Missing asset tags: Some routines are set up to only service assets with a certain asset tag. Navigate to the property, open the Routines tab, click Manage routine services, then Actions->Edit on the Routine. Review the Apply only to assets tagged with field. Next, go to the Assets tab on the same property, edit the relevant asset and scroll down to review the Tags field.

  • Variant excluded or overidden from servicing: Certain variants do not have the same servicing requirements and can be excluded from the routine service level or be serviced on a different routine service type. Go to Control Panel > Asset Types, find and view the relevant asset type. Then click the Variants tab and edit a variant, then review the Override routines and Excluded routinelevels fields.


CSV Importer Errors

If you encounter errors when bulk importing assets, this could be due to:

  • Incorrect field mappings: Please ensure you have correctly mapped every header in the uploaded CSV to the corresponding Uptick field on the asset.

  • Incorrect format or missing information in mandatory fiedls: The import summary will highlight which rows failed and why. Resolve the issues with the failing rows, then re-attempt the import.


Moving an Asset from one property to another

When an asset is moved between properties, most of its history is retained. However, we strongly recommend against moving assets between properties unless the asset was originally created on the wrong property and has no service history, remarks, photos, QR codes etc.

This is because some data is closely tied to the original routine and property, thus it might no longer be easily accessible.

Instead, we recommend:

  • Mark the original asset as inactive on the current property.

  • Create a new asset on the correct property.

  • If required, manually copy across any relevant asset details.

Archived and Deleted Assets

  • Archived assets still appearing: Archived assets are hidden by default in most views, but some filters or reports may still surface them. Check any active filters and ensure the view is set to show only active assets. If the inactive asset appears on the generated routine task, then the task was created before the asset was marked inactive - making the asset inactive will not remove it from existing tasks. Open the relevant task and click reapply subtasks to add any new assets or remove inactive assets from the task.

  • Unable to permanently delete an asset: Uptick does not support permanent deletion of assets if it is already linked to reports, service history or signoffs. Instead, mark the asset as inactive to remove it from active workflows while preserving its history.

  • QR codes reuse: QR codes tied to an archived or deleted asset cannot be reassigned to a new asset while the original remains in the system.
