How to create and delete action groups and associated actions (checkbox, form, report, url) on a task

Setup

You will need the Actions module turned on in your workspace. If you do not see this in your main menu, reach out to [email protected].

You will also need the following permissions in your security group:

  • Can see all tasks.

  • Can update tasks.

How to create an action group on a task

Action groups are groups that can contain multiple actions.

1. Navigate to Tasks and view a task.

2. Go to the Work tab.

3. Click + Add action group, then enter Name and Order (negative or zero for pre-start, positive for post-completion).

4. Click + Add to create a new action within the action group.

5. Select or fill out information for:

  • Order: The order in which the action will appear, with 0 being the top of the list.

  • Type: Specifies the kind of action

    • Checkbox: A checkbox for users to tick.

    • Form: A form for field users to complete.

    • URL: If selected as the action type, provide a link in the URL field to direct the user to.

    • Report type: Provides a link to create a specific report (available to desk users).

  • Required: If ticked, the action must be completed before starting or completing the task (applicable to field users).

  • Frequency: Select how often the action to be completed: Once, Daily, or Daily per technician (only for form actions).

  • Question: Provide the name or instruction shown for the action.

  • Field or Office: If Office is selected, the action is not visible in the app; Field actions are visible to both desk and field users.

6. Click Add.

Pre-task Action: Appears in the Work/Products/Repairs tab on the app. If marked as required, work cannot begin until the action is completed.

Post-task Action: Appears in the finalisation tab on the app. If marked as required, the task cannot be set to performed or any other status until the action is completed.


How to add the action group template to a task

1. Navigate to Tasks and view a task.

2. Go to the Work tab.

3. Select an existing action group from the Load action template dropdown, then click Submit.


How to remove actions and action groups from a task

1. Navigate to Tasks and view a task.

2. Go to the Work tab.

3. To remove the action group, click the pencil icon and then select Delete. To remove an action within the group, click Edit and then the trash bin icon.
