Managing Properties with Multiple Tenancies

Uptick offers flexible options to help you manage large buildings and sites with multiple tenancies. This guide will help you choose the right approach based on your reporting, invoicing, and contact management needs.

Choose Your Setup Approach

Option 1: Parent/Child Properties

Use this when: Each tenancy needs separate reports or defect quotes.

Parent/Child properties let you organize multiple tenancies under one main property while keeping documentation separate for each unit.

How it works:

  • Each tenancy becomes a "child" property

  • The main building is the "parent" property

  • Child properties stack neatly under the parent

  • Each child can have its own reports, quotes, and invoices


Option 2: Multiple Contacts on One Property

Use this when: Separate documentation isn't required, but different contacts need specific correspondence.

This approach keeps everything on one property while controlling who receives what.

What you can control:

  • Invoices

  • Reports

  • Defect Quotes

  • Notifications

Tip: Use asset locations (e.g., "Shop 2, Front Entrance") with the Places filter in the Uptick App to help technicians find assets quickly.


Filter Properties by Type

Use the Parent Property Type filter on the Properties dashboard to view:

Set Up Tenancy Contacts

Add and manage contacts for different tenancies directly on a property.

Steps:

  1. Open the property and click the Contacts tab

  2. Click Update contacts

  3. Add contact details and set their preferences

Contact Settings:

Tenant, Owner, Site/Property Manager, or Access Contact

Name

Contact's full name

Organisation

Business name or tenancy (e.g., "Shop 2")

Email

Required for invoices, reports, and quotes

Invoice

Toggle to send invoices to this contact

Report

Toggle to send reports to this contact

Defect Quote

Toggle to send defect quotes to this contact

Notification

Toggle to send notifications to this contact

Public

Toggle to make contact details visible to contractors

Schedule Tasks Across Multiple Tenancies

When you need to visit multiple tenancies for one task, create separate appointments with unique names.

Steps:

  1. From the task page, click Schedule

  2. Drag the task onto the technician's schedule

  3. In the Summary field, enter the tenancy name (e.g., "Shop 1")

  4. Repeat for each tenancy

This creates multiple appointments for the same task, making it easy to track progress across tenancies.
