How to consolidate existing tasks
The Consolidate Invoices button is only available from the main Tasks list. This option is not available when viewing tasks from the Tasks tab on a Property.
1. Navigate to the Tasks list, select Bulk action, select the tasks you wish to consolidate and click Edit [X] Tasks.
2. Click Consolidate Invoices (with Preview) to preview how the tasks are going to be grouped by client and billing card.
3. Review grouped tasks and click Consolidate tasks.
This action will group all tasks by billing card, and create parent tasks for each grouping. This then allows you to then click into each parent created and dispatch the invoice, reports and/or quotes for each parent.
Child tasks are linked under a parent task, streamlining invoicing and reporting, while maintaining individual task scope, work complete and appointments.
Consider reviewing individual tasks as they are performed in the field and moving them to some sort of tag or status for later, end of week/month consolidation.
Parent tasks created via this flow will automatically move into Office Review status to move it out of the technician's task list. This is not customisable.
How to un-consolidate tasks
One at a time
Open a child task.
Go to the Task Relationships section in the right-hand column.
Click the pencil icon next to the Parent task name.
Remove the parent task by clicking the cross button, then click Save.
In bulk
Select all child tasks on the Tasks page you wish to un-group (you can use Parent task filter to restrict the list to all child tasks under the specific parent).
Via Bulk action, select Clear Parent task in the Parent task field.
Then click Apply changes.
If the parent task doesn't have any more child tasks, archive or delete it to keep the task list updated.
How to send invoice, report and defect quotes for consolidated tasks
Set up billing, reporting, or defect quoting requirements for a client to streamline task dispatching.
Create and send an Invoice
1. Open the parent task.
2. In the Process section, on the Invoices row, click + Create.
Grouping billable items is not available on parent tasks. To display summarised information to your clients, pick an appropriate invoice template.
3. Review the line items and click Create Invoice.
4. Click Update on the invoice to change the Document template to Consolidated Invoice (all line items listed grouped by property and task) or Consolidated Invoice Summary (all tasks listed with the total value). Then click Save Invoice.
See Using Standard Templates from the Library to add the consolidated invoice template to your workspace.
5. Draft invoice will be available when dispatching the task.
Create, save and send reports
Create and save a report for each child task. These will automatically be available for selection when dispatching the parent task.
Create and finalise defect quotes
Create and finalize a defect quote for each child task. These will automatically be available for selection when dispatching the parent task.
