Filtering Your Data

At the top of the dashboard, you can customize your view using these filters:

  • Time Period: Switch between financial years, calendar years, quarters, or months

  • Account Manager: Filter by specific account managers

  • Service Group: Focus on particular service types

  • Branch: View performance by location

Tip: Combine multiple filters to drill down into specific areas of your business (e.g., a specific account manager within a particular branch).

Dashboard Sections

1. Financial Overview

What it shows: Monthly revenue, costs, and profit for the selected year.

Key metrics:

  • Total Net Invoiced Revenue - All invoiced amounts after credits

  • Total Costs - Labour, materials, equipment, expenses, and subcontracted costs

  • Gross Profit - Revenue minus total costs

  • Profit Margin - Profit as a percentage of revenue

Month-by-month breakdown includes:

  • Actual revenue and costs for each month

  • Comparison to the previous year's equivalent month

  • Profit margin percentage

How to use it: Hover over the bar graphs to see detailed revenue numbers for any month. Compare current performance against targets and previous years to spot trends.

2. Revenue Overview

What it shows: Revenue trends with historical comparisons.

Key metrics:

  • Total Net Revenue - Sum of all invoiced revenue

  • Total Invoices - Number of invoices created

  • Average Invoice Value - Total revenue divided by invoice count

  • 1-Year Comparison - Performance vs. last year

  • 3-Year Comparison - Long-term trend analysis

How to use it: Identify seasonal revenue patterns and understand your growth trajectory over multiple years. The month-by-month table shows invoice counts and revenue with 1-year and 3-year comparisons.

3. Revenue Breakdown

What it shows: Revenue split by task category (Callout, Inspection, Repair, Other).

What's included:

  • Callout Revenue - Emergency and reactive service work

  • Inspection Revenue - Assessment and testing tasks

  • Repair Revenue - Maintenance and repair work

  • Other Revenue - All other service types

How to use it: Understand which service types drive your revenue. Compare each category against the previous year to see which areas are growing or declining. This helps you make informed decisions about resource allocation and service focus.

4. Cost Breakdown

What it shows: Business costs by category with revenue comparison.

Cost categories:

  • Labour Costs - Time sessions from technicians (on-site, travel, and other labour)

  • Material Costs - Parts and materials from purchase orders and warehouse transfers

  • Equipment Costs - Tools and equipment purchases

  • Expense Costs - Travel, fuel, and other expenses

  • Subcontracted Costs - External contractor work

How to use it: The graph displays costs by category and compares them to revenue (shown as a plot line). The table provides detailed breakdowns including:

  • Total costs by category

  • Year-over-year cost comparisons

  • Revenue and margin calculations

πŸ’‘ Tip: Monitor your cost-to-revenue ratio to ensure profitability. If costs are rising faster than revenue, investigate which categories are driving the increase.

Understanding Your Data

How Costs Are Calculated
