How to Understand Your Projects Performance Dashboard

For a glossary of the concepts we have mentioned, please review this article

1. To access the dashboard, go to Main Menu > Insights and Reports > Click Projects Performance

Filter the data

You will see Filters. Apply these to focus on specific projects

  • Branch

  • Cost Centre

  • Supervisor

  • Category

  • Last 12 months (or Last 6 months)

There are two tabs: Financials and Timeline. We will go through these sections below


Historical Projects

This section will show you the analytics on Projects which are Complete and Archived.

A summary table of the Total number of Historical projects, On time delivery rate, Avg duration, Quoted margin, Actual margin and Gross profit.

Total

Total count of projects that are Complete and Archived (not active)

On time delivery rate

% of projects completed before the estimated completion date

Avg duration

The mean durations between actual start and actual completion dates.

Quoted margin

100.0 * (quoted sell - quoted cost) / Absolute(quoted sell)

Actual Margin

100.0 * (net invoiced - actual cost) / Absolute(net invoiced)

Gross profit

Cash position on all project related tasks


Financial Summary

Current Financials

This graph visualises your cash position over the chosen 6 or 12-month period using stacked bars.

For a deeper look into the months, hover over a bar and a popover will appear showing a snapshot of the financial accounts, categorised by revenue (Invoice.types) and Product.types (labour, material etc) for that period.

Note: Invoice revenue is from invoices raised from the project screen

Invoiced + Received

Cumulative value of all invoices that have been authorised

Unpaid invoices

Invoiced

Outstanding authorised invoices that haven't been settled via being paid or credited

Unpaid costs

Actual cost that have been incurred from project tasks, but haven't been paid.

Cash position

Received - Paid cost

Gross profit

actual_profit == actual_sell - actual_cost == (Invoiced + Received) - (Incurred + Paid Cost)

Cumulative Paid cost for that month

Total revenue

Received invoices

Cost Breakdown

The Cost breakdown chart visualised your Paid cost for the filtered period and is designed to give you an indication of your expenses for each of the Product.types.

Total project count

Sum of all active projects. Excluding statuses canceled and complete

Project count by status

Total count of projects in that status.

Remaining balance (aggregated)

Sum of all remaining claimable value by status

Remaining balance
by status

(invoiced + Received) - Quoted sell by status (on hold, ready, in progress

Projects by stage

Projects by stage is broken down into status to give you a clear visualisation of your outstanding revenue by status.


Projects In Progress

This section will show you the analytics on Projects that are in the In Progress status.

A summary table of Total In Progress projects as well as Quoted cost, Quoted Profit, Estimated cost, Committed Cost and Actual Cost

Timeline

  • Start Date: This is the actual start date of the project set automatically when the project status is set to Inprogress

  • Expected Completion: This is the expected completion date of the project

Timeline view

The following data is used to formulate the individual project timelines over a 12 month period:

  • Expected start date

  • Actual start date

  • Estimated completion date

  • Actual completion date

The views can be changed from the available filters at the page level

In progress (with estimated start, actual start and estimated completion)
