How to create and handle invoice credits for authorised or paid invoices and sync with accounting integrations

Setup

You will need Xero, Sage or Myob Business accounting integration connected to your workspace with Sync Credit Notes sync setting set to Update only. Other integrations, non-cloud and offline integrations are not supported.

For Sage and Xero: Due to rounding differences, invoice totals may occasionally mismatch when issuing credits. To prevent this issue, create a rounding account code in your accounting partner and then provide this code in the Rounding Account field when editing the accounting integration in Control Panel > Accounting. So, any future credits or invoices with rounding differences will automatically include a ‘rounding’ line item in Sage or Xero to resolve discrepancies.

You will also need the following permissions in your security group:

  • Can create, update and delete credit notes.

  • Can view invoices and credit notes.

Credits raised directly in the accounting partner are not visible in Uptick. This means Uptick will not warn you about any overpayments kept as a credit in your accounting partner, your accounts team will need to manage this separately.

How to raise a credit note on the invoice

Credit notes can be raised against individual invoices and pushed to the accounting partner from Uptick, just like standard invoices. This ensures accurate revenue tracking and reporting for each task.

Credit notes can be raised ONLY against invoices which:

  • Aren't in Draft, Voided or Deleted status; and

  • Have been successfully pushed to the accounting partner; and

  • Haven't been fully credited already.

1. Navigate to Billing > Invoices and view an invoice in Authorised or Paid statuses.

2. Click + Raise credit.

3. Change the Date for financial reporting, enter a Number (or leave blank to be set by your accounting partner), and add a Description if required.

4. Input the value of the credit - there are two options in this step:

Option 1 - Lump sum: Provide a Description, an Account Code, set Quantity to 1, input the Unit Price and select Tax Code.

  • Account Code: Required by most accounting integrations.

Option 2 - Itemised: Click + Load items from invoice, then edit any of the details (Description, Account Code, Quantity, Unit Price and Tax Code), and delete any items not being credited.

5. Click Create and push to [Accounting Partner]. This action raises the credit and pushes it to the accounting partner. If an errors, resolve before trying again.

6. Scroll down to the Total section to review the credit applied and click on Credit note to review.


How to locate credit notes

Tasks > View the task with credited invoice: A CR badge appears next to the invoice in the Process section. The displayed value is the tax-exclusive invoice total minus the credited amount (i.e. the revenue of the invoice).

Customer Data > Properties > View the property with credited invoice > Billing: The Invoices section shows a CR badge and amount owing (tax-inclusive total minus credit) for any credited invoice.

Billing > Invoices: A CR badge appears next to the invoice status, and fully credited invoices show the status Credit. Use filters like Credit Note (enter the credit note number), Credit Date After, or Credit Date Before, or open the Download dropdown and click Download Credit Notes to export them as a CSV file.


How to download the amended invoice with the credit

1. Navigate to Billing > Invoices and view the credited invoice.

2. Click the regenerate PDF icon, then Download PDF.

How to remove a credit note

Credit notes must be voided or deleted in the accounting partner, and the status will sync to the workspace overnight or can be synced manually:

1. View the credited invoice, scroll to the Total section, and click on the Credit note.

2. Click the Sync button in the credit note’s integration panel.
