Setup

You will need the Billing module turned on in your workspace. If you do not see this in your main menu, reach out to [email protected].

You will also need the following permissions in your security group: Can create and update billing cards.

Billing cards are a way to keep track of client information for billing purposes and are necessary to complete invoices as they are linked to your existing Accounting Partner account.

If you see this arrow, click to expand for more information!

We will add additional information and images under these arrows.

How to create a billing card and sync it to the Accounting Partner

Invoices WILL NOT be sent to the billing card contact details and will always be sent to the billing contacts set on the client or property.

1. Navigate to Billing > Billing cards and click Create Billing card.

2. Provide the Name and complete the remaining fields. For MYOB users, the Reference (MYOB Client ID) field must be entered.

3. Click Save Billing Card.

4. Click Create New or the sync icon (to connect to the existing record in the Accounting Partner) in the Integration section.

Available fields on a billing card (General Details, Postal Details, Site Details, Accounting Integration)

General Details

  • Name: The name of the legal entity responsible for billing to appear on invoices.

  • Reference: A unique identifier for this billing card.

  • Business Number: The registered business identifier for the billing entity (e.g. ABN, Company Number, EIN, or Business Number).

  • Invoices Due: Configure payment terms to control due dates of invoices against this billing card. Enter a number of days and choose one of the following options: days after, days after the end of the month, of the month, or of the following month

Postal Details (Attention, Email, Mobile phone, BH phone, AH phone, Fax, Postal Address): The organisation to contact about any debt owed.

Site Details (Attention, Site Address): The legal entity responsible for any debt.

Accounting Integration (Accounting Organisation): Leave this blank to use the default accounting organisation.

How to edit a billing card

1. Navigate to Billing > Billing cards and click View on the billing card.

2. Click Update.

If the billing card is synced to the Accounting partner, it cannot be edited in Uptick, so updates must be made in the accounting system and will sync back to Uptick.

3. Adjust any of the fields and click Save Billing card.

How to assign a billing card

The billing cards can be assigned to:

  • Client (recommended) by viewing the client record and clicking Change in the Billing Card section.

  • Property by clicking Change in the Billing Card section on the Billing tab.

  • Fixed or Do&Charge billing contract by selecting a card in the Billing Card field.

  • Task by clicking Change in the Billing Card field on the Task tab

Billing cards are inherited top-down: from client to property, from Fixed billing contract to Billing task, from Do&Charge billing contract to I&T task and from property to callout and repair tasks.
