How to view and collect reserved stock for tasks and van restocks on iOS and Android

Setup

You will need the following permission in your security group:

  • Can see all tasks.

  • Can create and manage warehouses, submit stock adjustments and transfers.

  • Can view purchase orders.

  • Can create and update purchase orders and dockets.

To view and collect van stock:

  • The Warehouses module must be turned on in your workspace. If you do not see this in your main menu, reach out to [email protected]; and

  • A van warehouse must be created and assigned to the field user.

Van stock is consumed based on the van (warehouse) assigned to an engineer. When an item is marked as 'performed' on a task, if the correct engineer is assigned, the stock will be deducted from their associated van or warehouse.


IOS: How to view and collect stock reserved for tasks

1. Navigate to the Stock tab and click Task Inventory.

To filter tasks scheduled for Today, This Week, Next Week or Starred task, select the relevant option on the top.

2. Review the tasks to understand the stock requirements and actions.

Parts required with no actions: no stock is reserved/allocated from the warehouse, or no purchase orders have been docketed.

Parts required with actions: some products are available to be collected from a facility or purchase order, but not all stock has been reserved/allocated.

Parts in delivery no actions: the task purchase order has been submitted to the supplier, but doesn't have any docketed stock to collect.

Parts in delivery with actions - the task purchase order is ready for collection or some stock might be reserved/allocated from a facility.

Allocated no actions: all stock has been collected.

Allocated with outstanding actions: stock ready for collection from a facility or a docketed purchase order.

3. Tap the task tile to view stock reservations and purchase orders:

  • To collect stock from reservations or docketed purchase orders, click Collect All.

  • If a purchase order has been submitted but not yet docketed, click View on the purchase order and receive the goods before collection.


IOS: How to view and collect reserved stock for the van restock

1. Navigate to the Stock tab, click Van stock to view all stock in the van.

Click on the product to see more information: Name, Description, Supplier, SKU and Internal ref.

2. If stock is reserved for van, a message Collections available for van restock is displayed. Click View. If the reserved stock is from multiple warehouses, select the warehouse to review first in the pop-up window.

3. Review the products for collections and click Collect All, then tap Collect All in the pop-up window to confirm.

1. Navigate to the Stock tab and click Task Inventory.

1. Navigate to the Stock tab, click Van stock to view all stock in the van.

Click on the product to see more information: Name, Description, Supplier, SKU and Internal ref.

Understanding Van Stock Consumption in Uptick

Van stock in Uptick is consumed based on the van (warehouse) assigned to a technician. When an item is marked as 'performed' on a task, stock is automatically deducted from the warehouse linked to the technician who performed the work.

To ensure stock is correctly consumed:

Ensuring Correct Stock Consumption

  1. Add the required stock to the task.

  2. Mark the item as 'performed.'

  3. Assign the correct engineer/technician as the one who performed the action.

  4. Double-check the "Performed By" field reflects the correct engineer.

  5. Make sure all items, especially consumables like batteries, are explicitly marked as completed (or built) within the system.

Correcting Incorrect Stock Consumption

If a technician uses the wrong product or needs to swap one out, do not delete the service task. Deleting the task will still count the product as consumed against that tech and their van stock.

Instead, follow these steps:

  1. Unperform the product from the Work tab.

  2. Navigate to Margin Review and transfer the stock back to the correct warehouse.

  3. Update the line item on the Work tab with the correct product.

  4. The technician can now perform the updated product as usual.

This process ensures stock levels remain accurate and warehouse allocations are correctly maintained.


Troubleshooting Stock Issues

If stock consumption appears incorrect or not functioning as expected:

  • Verify that the engineer performing the task has been assigned correctly in the "Performed by" field.

  • Ensure the items are appropriately flagged or assigned within the task details.

  • Confirm that the engineer's van (warehouse) is active and linked correctly to their assignments.
