How to setup and use purchase orders in the Uptick Workforce app.

Purchase orders (PO) have been expanded and improved in our mobile app. Empowering you to safely create purchase orders on the go, you can easily:

  • Raise a material purchase order for a task.

  • Submit your PO for approval.

  • Email your PO to a supplier.

  • Submit or download a PO for a supplier.

  • Collect & docket goods.

Create a material purchase order for a task

How to create material purchase orders in the mobile app.

  1. Find the task from your Tasks list in the app to create a purchase order for.

  2. Select the Task and then Purchase Orders.

  3. From here you can see any existing purchase orders for the Task, and you can select to Create New Purchase Order.

  4. After this you can choose the Items to add tab where you will either see Task items or the Product catalogue if there are no material products on the task to purchase.

  5. On the Task items tab, we preselect all the items from the task, unselect individual items as needed.

  6. On the Product catalogue tab, you can search for any additional products you need to purchase for the task.

    1. Enter a key word to search the product catalogue from the product names, supplier, code or SKU.

    2. Select a product to add it as an item to the PO.

  7. Once you are ready, select Done to add all your items to the PO

  8. For items that you added, you can select an item to modify the quantity and cost price as needed. Select save to update the item.

  9. Next on the create PO view, you'll also see the details tab selected where you can set the supplier and description.

  10. When you are ready, select Save in the create PO view, and choose to either Save as a draft or Save & submit the PO for approval.

If your purchase order's total value amount is less than the authorisation limit for purchase orders, the PO will automatically transition into an approved state.

Edit Product Line Items

When products have been added to a purchase order that has not yet been approved or submitted, you can modify the Description, Quantity and Unit Price.

To edit a PO product line, simply select that PO line item, and you'll be presented with the following choices to modify

  • Description of Parts

  • Quantity

  • Unit Price

Submit or download a PO for a supplier

It is super simple to either submit or download a PO for a supplier in the mobile app.

If you have the permission set, you can select to submit to supplier which will email the supplier a PDF copy of the approved PO.

When you go to collect your goods from a supplier, you can easily select the download PDF icon which will download and save a PDF copy of the PO to your mobile device. Once you do this you can open the PDF to show the supplier from your mobile device or share the PDF with the supplier.

Collect & docket goods for a PO

How to collect and docket goods for a purchase order.

  1. Find the task from your Tasks list in the app that you want to collect goods for

  2. Select the Task and then Purchase Orders

  3. From here choose the PO you will be collecting goods for

  4. Select To Collect to see all the goods you can pick up

  5. If every item is going to be collected simply select Collect all items

    1. You'll see a confirmation message, where you can choose to confirm that you're collecting everything

  6. If only some items are going to be collected, you can uncheck items or reduce the quantity and then Collect Items

    1. You'll see a confirmation message, where you can choose to confirm that you're partially collecting the items from the PO

  7. Then choose either to take a photo, pick a picture or pick a file of the receipt, delivery docket or of the goods themselves as evidence they have been received.

Your accounts and billing teams will see that the PO has been collected, with the PO status automatically updated, so that they can process any bills that arrive from the supplier. They'll also be able to access the photo or file you uploaded as evidence that the goods were received.
