How to Set Up and Use Replace Now

What is Replace Now?

Replace Now allows technicians to replace assets immediately in the field when they have authorization, without creating a defect quote first. When a technician uses Replace Now, the system:

  • Updates the asset details (keeping service history intact)

  • Automatically adds the replacement product to the task for billing

  • Resolves the remark

Note: Replace Now is only available in the Uptick App (iOS and Android), not on the web platform.


Before You Start

You'll need these permissions:

  • Can change site configuration settings

  • Can configure the asset library


Step 1: Enable "Requires Replacement" on a Remark Type

  1. Navigate to Control Panel > Asset Types

  2. Click View on the asset type you want to configure

  3. Find the remark type and click Edit

  4. Tick the checkbox labeled Requires replacement

  5. Click Save remark type


Step 2: Set a Default Replacement Product

  1. From the asset type page, click the Variants tab

  2. Click Edit on the asset variant you want to configure

  3. Click Set advanced

  4. In the Default replacement product field, select the appropriate product from your Product Catalog

  5. Click Save Variant

Once saved, the replacement product will appear in the Replacement column on the Variants tab.


Using Replace Now in the Uptick App

iOS

When a technician adds a remark that has Replace Now enabled, they'll see two options:

  • Replace Now - Immediately replaces the asset and adds the product to the current task

  • Add Remark Only - Creates a remark for defect quoting (doesn't charge immediately)

To use Replace Now:

  1. Select the remark against the asset

  2. Tap Replace Now

  3. Update the following details:

    • Before/After photos

    • Replacement product (auto-selected if configured)

    • Barcode/bSecure

    • Base date

    • Installation date

  4. Tap Done

Android

To use Replace Now:

  1. Open the asset

  2. Tap Replace Now

  3. Select the applicable remark

  4. Fill out the details:

    • Before/After photos

    • Replacement product (auto-selected if configured)

    • Barcode/bSecure

    • Base date

    • Installation date

  5. Tap SAVE & RESOLVE


Replace Now vs. Defect Quoting

Use Replace Now when:

  • The technician has authorization to replace the asset immediately

  • The replacement cost is within the task's authorization limit

  • You want to bill the replacement on the current service task

Use Add Remark Only when:

  • The replacement needs approval first

  • The cost exceeds the authorization limit

  • You want to create a defect quote for the customer

Note: Items added via Replace Now will NOT appear in the Quote Builder, as they're billed directly to the service task.
