Understanding Defect Quoting: Products and Replacement Options

  • Suggested products for remarks

  • Default replacement products for asset variants

  • How these settings work together in defect quoting


Overview

When technicians find defects in the field, Uptick offers three ways to handle product selection for quoting and repairs:

  1. Suggested Products – A shortlist of products that appear when adding a remark

  2. Default Replacement Products – Auto-populated products for specific asset variants

  3. Replace Now – Immediate replacement without creating a quote (requires authorization limits)


1. Suggested Products

What they are:
A shortlist of products configured on remark types that appear when technicians add a remark in the Uptick App.

Where to set them:
Control Panel > Asset Types > View > Edit Remark Type > Suggested Products field

How they work:

  • Technicians see these products at the top of the product selection when adding a remark.

  • They can still search the full Product Catalog if needed.

  • Products added this way appear in the Quote Builder for defect quotes.

Best for: Commonly used products for specific defect types (e.g., a "Damaged hose" remark suggests relevant hose products).

2. Default Replacement Products

What they are:
A single product automatically assigned to an asset variant that appears when using Replace Now or creating defect quotes.

Where to set them:
Control Panel > Asset Types > Variants > Edit > Set Advanced > Default Replacement Product

How they work:

  • When "Requires replacement" is enabled on a remark type AND a default replacement product is set, the Replace Now option appears in the app.

  • The product auto-populates in the Quote Builder (can be overridden by selecting a different product).

  • Used for assets that typically need identical replacements (e.g., a 2.5kg fire extinguisher is always replaced with another 2.5kg extinguisher).

Best for: Assets with standard, predictable replacements.

3. How These Settings Affect Defect Quoting

In the Quote Builder (Uptick Web Platform)

When creating a defect quote, the products you configured will appear based on what the technician selected:

Scenario

What Appears in Quote Builder

Technician selected a suggested product

That product appears and can be added to the quote

Technician added a remark with "Requires replacement" enabled

The default replacement product auto-populates

Technician added a remark with no product selected

A checkbox appears: "Add to quote" (you must manually select a product)

⚠️ Important: If you add a remark to a quote without a product, you'll see a "Must have a product" error. You will need to select a product before finalizing the quote.

4. Replace Now and Defect Quotes

Key Difference:
Items added via Replace Now do NOT appear in the Quote Builder because they bypass the quoting process entirely.

Why?
Replace Now is used when:

  • The task has an authorization limit.

  • The technician can fix the defect immediately.

  • The work will be invoiced directly without needing client approval on a quote.

Workaround for Quoting:
If a remark has Replace Now enabled but you want to quote it instead:

  1. In the Uptick App, tap Add > Add Remark Only (do not use Replace Now).

  2. The default replacement product will automatically appear in the Quote Builder.

  3. You can override this by selecting a different suggested product.


Best Practices for Setup

To make defect quoting fast and intuitive: ✅ Configure suggested products for all applicable remark types.
Enable "Requires replacement" for remarks that need product replacements.
Set default replacement products for asset variants with standard replacements.
