Remarks

What's the difference between a remark and a defect?

While remarks often describe defects found during inspections, the main difference is that remarks can also be used to communicate recommendations or to explain why an asset couldn't be tested, not just to record defects.

Why are remarks in Unpublished status?

Unpublished remark hasn't been included in a published report, so it isn't visible on the Customer Portal. It is recommended to review the task where remark was added to understand why it wasn't included in a published report.

If it is required to manually make remarks published, navigate to view all remarks, add the Published filter and set it to Draft. Then select all remarks on the page and click Edit [X] Remarks. In the pop-up window, set Published to Mark as published and click Apply changes.

Remark Types

My technicians are seeing all remark types, not just the ones for the asset they're inspecting. Why?

Remark types without an assigned asset type are treated as global and will appear for every asset. If technicians are seeing a long list of unrelated remarks, it's likely because those remark types haven't been linked to a specific asset type. Learn more in Create and manage remark types.

Owner responsible remarks and remark types

What are owner responsible remarks?

Remarks and Remark Types can be marked "Owner Responsible," removing them from the quoting queue. When a remark is owner responsible, this is labelling a remark as something that is in the client's court to fix as it either isn't worth quoting, you don't offer quotes for that type of repair or you only quote that work by request.

Examples of Owner Responsible remarks is a moveable object is sitting in front of an exit door that the owner can simply fix, recommendation or informational remarks which, as a business, you've decided not to quote unless requested.

What happens when I make a remark or remark type 'Owner Responsible'?

When a remark type or individual remark is ticked, that remark will no longer sit in the quotable list which is used by the Quote Builder when raising a defect quote.

Office staff processing post visit tasks will also be flagged to if any newly raised or previously raised owner responsible remarks are still outstanding. Owner Responsible remarks will be filtered OUT of the 'Quote Required' remarks. This allows the office staff to review and contact the client accordingly - via a call, external email or a report. Uptick does not offer an out-of-the-box 'Owner responsible report' customers can dispatch or an contact workflow inside Uptick at this stage.

It's also used to filter out remarks by default from the Remark List (Customer Data > Remarks) for Service Managers using this list to quote.

How to label a remark or remark type as Owner Responsible

  1. When a Defect Quote is declined, all its remarks can be marked owner-responsible.

  2. Office staff can manually mark any remark as owner responsible anywhere in the system i.e on the 'Service' modal on the Work tab of a task, by navigating to that remark via the remark list or defect quote.

  3. Remark types can be set as owner responsible which means all remarks created from that type are also so unless manually edited otherwise. Do this by either using the Data Importer or going to Control Panel > Remark Types and using the Bulk Edit on that list.
