Complete a stocktake and make stock adjustments

Submit and approve stock adjustments for material products

Setup

You will need the Warehouses module turned on in your workspace. If you do not see this in your main menu, reach out to [email protected].

You will also need the following permissions in your security group: Can create and manage warehouses, submit stock adjustments and transfers.

To enable the stock adjustments approval workflow, ensure only relevant users have the permission Can approve stock adjustments.

How to submit a stock adjustment

Via Warehouse

1. Navigate to Billing > Warehouses and click View on a warehouse.

2. Click New Adjustments.

3. Provide the Comment for the audit trail, search for the relevant product, enter the New Count and click Create.

The products can be searched by Name, Supplier Ref, Internal Ref, Supplier or Category.

Via CSV Data Importer

Download Stock adjustment template in Import Templates in Tools > Data Importer. Complete the required fields:

  • Quantity: The current stock level of the product.

  • Product Identifier: Only one of the following columns needs to be filled to match the product in the system: product_name, product_code, product_id, or a combination of supplier_name and product_sku.

  • Warehouse Identifier: Only one of the following columns needs to be filled to match the warehouse: warehouse_name or warehouse_id.

Then follow the steps in How to update existing data via Uptick CSV Data Importer to import the Stock adjustment.

The following CSV files can assist with completing the Stock Adjustment template:

To download the current stock levels for each product in the warehouse: view the warehouse, open the Download dropdown and click Download All Stock.

To download the list of all warehouses and their IDs, navigate to Billing > Warehouses and click Download.


How to approve a stock adjustment

1. Go to Billing > Warehouses and Click on the Stock Adjustment.

This functionality is also available on the warehouse page when clicking Review Pending.

2. Click Review on the stock adjustment.

3. Click Delete, Edit (to change Comment, New Count or Unit Cost) or Approve.
