How to consolidate tasks

Consolidation of tasks for sending reports, defect quotes or invoices in a single email from multiple tasks

Setup

You will need the following permission in your security group:

  • Can see all tasks.

  • Can update tasks.

  • Can create, update and delete invoices.

  • Can create invoices via dispatch.

  • Can view invoices and credit notes.

  • Can add report.

  • Can view defect quotes.

  • Can create quotes.

  • Can send dispatches.

  • Can change quotes.

How to consolidate existing tasks

1. Navigate to the Tasks page, select the tasks and click Edit [X] Tasks.

2. Click Consolidate Invoices to preview grouped tasks by client and billing card. Or select an appropriate task in the Parent Task dropdown field.

Child tasks are linked under a parent task, streamlining invoicing and reporting, while maintaining individual task details and appointments.

3. Review grouped tasks and click Consolidate tasks.


How to create sub-tasks

1. Open a task and expand the Related section.

2. Click + create next to Child tasks.

3. Review the fields and click Create. Prefilled fields from the parent task can be adjusted as needed.


How to create and send an invoice, reports and defect quotes for consolidated tasks

Create and send an Invoice

1. Open the parent task. If generated through Consolidate Invoices, it will have the Billing category and Office Review status.

2. Click Create Invoice in the Process section.

Grouping billable items is not available on parent tasks. To display summarised information to your clients, pick an appropriate invoice template.

3. Review the line items and click Create Invoice.

4. Click Update on the invoice to change the Document template to Consolidated Invoice. Then click Save Invoice.

5. Draft invoice will be available when dispatching the task.

Create, save and send reports

Create and save a report for each of the consolidated tasks. These will automatically be available for selection when dispatching the parent task.

Create and finalize defect quotes

Create and finalize a defect quote for each of the consolidated tasks. These will automatically be available for selection when dispatching the parent task.
