How to manage service quotes

How to send service quote reminders, handle partial approval and create "template" service quote to be reused

Setup

You will need the Service Quoting module turned on in your workspace. If you do not see this in your main menu, reach out to [email protected].

You will also need the following permissions in your security group:Can create, update and delete service quotes.

How to send a service quote reminder

Send reminder emails manually or in bulk to follow up on submitted service quotes. Replies from clients will be directed to the assigned Sales Person.

Individual service quote

1. Navigate to Service Quotes and View a Submitted service quote.

2. Click Send Reminder to Customer to adjust the content and recipients. Then click Send Email to confirm.

You can edit the recipients and select from a drop down menu of Client contacts, Property Contacts and Client Primary or Requirement Contacts.

In Bulk

1. Navigate to Service Quotes, select all service quotes to send the reminder to and click Edit [X] Service quotes.

2. Choose Send reminder email in the Actions field and click Apply Changes.


How to manage partially approved service quotes

Partial approval of a service quote is not supported. Instead, have the quote declined and duplicate it to create a revised version.

1. Ask the client to decline the service quote and provide explanation on which items were declined or approved in the Comment.

2. Navigate to Service Quoting, update the Status filter to include Declined, and view the declined quote.

3. Click Duplicate.

4. Adjust fields and select the line items to include, then click Void original and Duplicate Quote.

5. Finalise and submit the new service quote to the client.


How to create and use a "template" for service quotes

When creating a service quote, service quote line items must be built from scratch. To save time, create a sample quote as a “template” that can be duplicated for reuse.

Templates are particularly useful when managing service quotes for multiple properties since they enable streamlined, consistent quoting across different sites.

1. Create a service quote for a "test" client and property.

2. To create a new service quote from the "template", click Duplicate.

3. Adjust the fields the pre-filled fields in the same window as when building the new service quote, then click Void Original and Duplicate Quote or Duplicate Quote.

4. Adjust any of the Service quote line items for Required work, Included fixed routines and Included Do and Charge routines.

5. Finalise and submit the new service quote to the client.

To manage multiple template quotes, create Service Quote Tag in Control Panel > Service Quoting and apply it by editing individual quotes or using bulk edit. Using templates for multi-property quotes ensures consistency and saves time by providing a ready-made framework adaptable for each site.


Creating and Managing Service Quotes for Multiple Properties

Workflow 1 (recommended): Individual Quotes for Each Property

For situations requiring property-specific breakdowns, follow these steps:

  1. Create and finalize a service quote for one property.

  2. Duplicate it for other properties and adjust details as necessary.

  3. Use Parent/Child Task Relationships to streamline management and reporting, including generating a consolidated invoice for overall billing efficiency. These workflows enable flexibility and ensure all client requirements are met efficiently.

Workflow 2: Single Quote for Multiple Properties

When creating one quote for multiple properties, you cannot seamlessly add routines and billing contracts, nor create tasks for the properties from the completion step. This workflow requires additional changes and adjustments.

  1. Set up a Parent Property in Uptick to group all relevant sites under one entity.

  2. Enable Quote Sectioning to divide the Required Work section for each property, OR state the releated property in the description of routines.

  3. Submit and approve the service quote, then complete the required steps depending on the nature of the quote

    1. Create the project, then project tasks. Once tasks are created, remember to change the property on each task.

    2. Create the relavant routines for each child properties.
