How to import Products

This article will show you how to import products onto properties in your Uptick server

There are several ways to set up products in your product catalogue in Uptick.

1. Add products directly to your product catalogue
If you only need to set up a few products or make a change here or there, we advise doing it directly within the system rather than through the importer.

2. Add multiple products using the data importer.

We recommend using the data importer method when:

  • Uploading initial data migration into Uptick

  • When making changes to a specific field(s) across many products

This article will show you how to format your import spreadsheet in order to bring your core products into Uptick.


Step 1: Populate your data for upload

  1. Download the Data Import Template Spreadsheet below.

  2. Fill out the spreadsheet with the information you want to upload. Please note some fields are required.

  3. Save as a .csv file

Description:

This is the name of the product for internal reference. (Must be unique)

This is the type of cost - these feed into profitability later.

Please select from the options below:

Materials = M
Labour = R
Equipment = E
Subcontracted = S
Expense = X

TRUE - products you want available in your system (majority)
FALSE - you want the product in your system but not for active use

Description of item, client facing. Note that this can be edited if needed on quotes.

Optional fields

Field name in Uptick:

Supplier

Cost Price

Income account code

Unit description

SKU

Description:

What supplier do you purchase this item from? (Must match your account partner exactly)

How much do you sell this item for, excluding GST?

General Ledger Account Code for Integrations.

This correlates to your accounting partner and Chart of Accounts

Description of item, but in past tense, if applicable. (This will appear on the invoice, and can also be edited there if required)

Your suppliers SKU Number - often found in their catalogue, so you can use this as reference and ease of searchability.

Step 2: Import your Data

  1. Sign in to your Uptick server

  2. Navigate to Tools > Data Importer

  3. In the field 'What are you importing?', select 'Products'.

  4. Choose your import file (this should be the .csv file you have saved).

  5. Click 'Start'. (If your file is large this may take a few minutes)

  6. Complete your 'Field Mapping'. If you are using our template, the mapping should pre-populate for you.
    Please check that the fields are mapped correctly.

  7. Click 'Save and Preview'.

  8. Review your preview to ensure that the data has passed all checks before proceeding.


    If you receive errors, please fix these on your .csv file and click 'Re-upload file'.
    You should see the green banner below before proceeding.

  9. Click 'Finalise'

  10. Your data should now be 'PROCESSING' with a Job status: RUNNING:

    You can leave this page now and come back later to see a summary of the imported data.

  11. When your data has finished being uploaded you will see 'FINISHED' and a Job status: DONE

  12. You can now navigate to Billing > Product Catalogue in your main menu to see your newly uploaded products!

    Please note that this is a highly simplified template designed for ease of use. If you are interested in seeing our extended template, it is available for download from the Data Importer module of your server. Please reach out to Uptick Product Support if you have questions about any fields in the extended template.
