How to import Property Contacts

This article will show you how to import property contacts into your Uptick server

There are 2 ways to set up property contacts in Uptick.

1. Add property contacts directly into your server
If you only need to set up a few property contacts or make a change here or there, we advise doing it directly within the system rather than through the importer.

2. Add multiple property contacts using the data importer.

We recommend using the data importer method when:

  • Uploading initial data migration into Uptick

  • When making changes to a specific field(s) across many property contacts

This article will show you how to format your import spreadsheet in order to bring your core property contacts data into Uptick.


Step 1: Populate your data for upload

  1. Download the Data Import Template Spreadsheet below.

  2. Fill out the spreadsheet with the information you want to upload. Please note some fields are required.

  3. Save as a .csv file

Required fields

You must have Clients and Properties in your Uptick server to import Property Contacts.

Description:

This is the property reference (often generated by Uptick).

Top Tip! Download the CSV of all your properties from your Uptick server to get a list of all the property names and property references. Copy and paste this information onto your CSV Data Import Template spreadsheet.

Choose from the following options:

TRUE for property contacts that are current/active

FALSE for all others

First and last name of the property contact

Choose from the following options:

- onsitemanager

- owner

- propertymanager

- accesscontact

- required

Ensure you copy it exactly as you see above in lower case.

TRUE - This contact will receive Invoices
FALSE - will not receive invoices

TRUE - This contact will receive reports
FALSE - will not receive reports

TRUE - This contact will receive quotes
FALSE - will not receive quotes

TRUE - This contact will receive notifications
FALSE - will not receive notifications

Non-Required fields we recommend

Email address of your property contact

Step 2: Import your Data

  1. Sign in to your Uptick server

  2. Navigate to Tools > Data Importer

  3. In the field 'What are you importing?', select 'Property Contacts'.

  4. Choose your import file (this should be the .csv file you have saved).

  5. Click 'Start'. (If your file is large this may take a few minutes)

  6. Complete your 'Field Mapping'. If you are using our template, the mapping should pre-populate for you.
    Please check that the fields are mapped correctly.

  7. Click 'Save and Preview'.

  8. Review your preview to ensure that the data has passed all checks before proceeding.


    If you receive errors, please fix these on your .csv file and click 'Re-upload file'.
    You should see the green banner below before proceeding.

  9. Click 'Finalise'

  10. Your data should now be 'PROCESSING' with a Job status: RUNNING:

  11. When your data has finished being uploaded you will see 'FINISHED' and a Job status: DONE

  12. You can now navigate to Customer Data > Properties in your main menu and select a property to see your newly uploaded property contacts under the 'Contacts' tab!

    Please note that this is a highly simplified template designed for ease of use. If you are interested in seeing our extended template, it is available for download from the Data Importer module of your server.
