How to manage defect quotes

How to merge, combine, duplicate repair quotes, and send automatic or manual reminders for quotes awaiting approval

Setup

You will need the Defect Quoting module turned on in your workspace. If you do not see this in your main menu, reach out to [email protected].

You will also need the following permissions in your security group:

  • Can create quotes.

  • Can change quotes.

  • Can view defect quotes.

  • Can change site configuration settings.

  • Can view clients.

  • Can update and archive clients.

How to merge defect quotes

  • Defect quotes cannot be merged directly from the Defect Quotes page — a new defect quote must be created, and line items from other defect quotes merged into it.

  • Defect quotes must belong to the same property and client to be merged.

  • Only defect quotes with the status Draft or Expired will appear in this section.

1. Follow the steps to create a defect quote draft.

2. Click Other quotes when viewing the drafted defect quote.

3. Check the box next to the defect quote which line items you want to merge into this defect quote.

The following line items will not be pulled when merging:

  • Line items attached to remarks that have been resolved.

  • Line items attached to remarks that exist on approved or actioned defect quotes.


How to manage automatic reminders for defect quotes

When auto-reminders are enabled, a single email containing all defect quotes awaiting approval will be sent to the relevant client and property contacts at the frequency set in the Control Panel, continuing until the quote’s expiry date.

How to adjust the frequency for auto-reminder

Navigate to Control Panel > Defect Quoting, enter the number of weeks in the Auto-reminder frequency (weeks) field (enter 0 to disable), then click Save.

How to disable auto-reminders for clients

By default, auto-reminders are enabled for all newly created clients.

Individual client

1. Navigate to People > Clients and click Edit on the client.

2. Go to the Defect Quoting tab, untick Auto-Reminders Enabled and click Save.

In Bulk

1. Navigate to People > Clients, select the clients and click Edit [X] Clients.

2. Select No in the Autoreminders Enabled dropdown and click Apply Changes.


How to manually send a reminder for submitted defect quotes

A reminder can be manually sent to the original recipient of the defect quote.

Individual defect quote

1. Navigate to Defect Quotes and view the defect quote.

2. Click Send reminder email and confirm Send email.

In Bulk

1. Navigate to Defect Quotes, filter the list by Submitted status, select the defect quotes and click Edit [X] Defect Quotes.

2. Select the Reminder Email Template and click Apply Changes.


How to manage a partially approved defect quote

If only some items on the defect quote are approved by the client, create partial tasks including only the approved items.


How to duplicate a defect quote

1. Navigate to Defect Quotes and view the defect quote.

2. Click Duplicate.

3. Adjust fields and select the line items to include, then click Duplicate Quote and don't change original or Duplicate Quote and void original.

4. Follow the steps to adjust line items and submit the defect quote here.
