Setup

You will need the following permissions in your security group:

  • Can create, and update tasks.

The Billable labour section shows on a call out task when:

  • the task's charge type is Time and materials

  • the task has finished session time

  • your workspace doesn't use automatic labour

Covering time in the Billable labour window requires active labour products:

How to cover billable labour on a task

  1. On a performed Call out task with completed sessions – the Billable labour row in the Process card shows the time left to cover. Click Cover time.

  2. In Attendance fee field, pick a fee, or choose No to cover time without one. The default is Yes, and the business hours, after hours and travel fields are hidden until you select a fee.

    1. If a fee was previously added to the task, you'll see a button called Add more attendance fees instead with all fields visible.

  3. In each section shown (Business hours, After hours, Travel), pick a labour rate. Uptick fills in the time to cover for you. Edit the time if needed. (Additional rates can be added if needed)

  4. You can review the totals in the Added labour table on the right. This is where you can see total time covered and total sell price.

  5. Click Save. Each rate is then added to the task's Work tab, marked performed and billable.

You don't have to use Billable labour: you can still add labour manually on the Work tab directly. The Billable labour window is just a more efficient way to do it.

Available fields and details in the Billable labour window

Billable labour modal:

  • Attendance fee: whether to charge a fee, and which one. Choosing a fee recalculates the time left to cover in business hours, after hours and travel straight away.

  • Business hours, After hours, Travel: one section for each kind of time still uncovered. A section with nothing left to cover doesn't show.

  • Rate rows: each rate you pick, with its time in hours and minutes and its charge. Time is auto filled but editable.

  • Rate details: hover over a rate name to see its rate, included labour, included travel and billing increment.

FAQs

Why isn't the Billable labour section showing?

Check the charge type is Time and materials and that the technician's session has ended: in-progress sessions don't count. It also doesn't show if your workspace uses automatic labour (see below).

Does Billable labour work if my workspace uses automatic labour?

No. With automatic labour, labour is charged straight from technicians' timesheets, so there's nothing left to cover. The Billable labour section and window don't show.

How does Uptick fill in the time when I pick a rate?

It starts from the rate's included labour (or included travel, for travel) and adds billing increments until the section is covered.

Example: With 2h 10m uncovered, a rate that includes 60 minutes and bills in 15 minute increments fills in 2h 15m.

Why isn't my labour rate or attendance fee in the list?

Check the rate is active and has included labour, included travel or included time. The attendance fee list only shows products set up as attendance fees. Click Manage labour products to fix the rate, or see Create labour and subcontracted rates. Without permission to manage products, ask an admin.

Can I edit or remove labour I've already added?

Not from the Billable labour window, which only adds new charges. Change or remove saved labour on the task's Work tab.
