How is stock used/consumed from warehouses

Stock is consumed when a product that is marked as Stocked is performed on a task.

If the technician who performed the product has a van or facility assigned to them, the stock will be consumed from that warehouse.

If that van or facility doesn't have enough Available stock or they don't have an assigned warehouse and you have fallbacks setup (recommended), the stock will be consumed from the fallback warehouse. If the fallback warehouse doesn't have enough stock, that warehouse's Available column will go into negatives and should be a flag to the office that something is wrong.

If you don't have fallbacks set up:

  • and the technician doesn't have enough Available stock in their warehouse, the warehouse will go into negatives.

  • and the technician doesn't have a warehouse assigned, the consumption will not occur and will be lost.

When Uptick consumes stock, it uses the FIFO principle (First In, First Out) to determine the cost of that stock and will update the item on the Work tab of a task accordingly when performed.

How to view stock history for all warehouses

Navigate to Billing > Warehouses and click Stock History.

How to view Stock History for an individual warehouse

1. Navigate to Billing > Warehouses and View a warehouse.

2. Click Stock History.

Available columns on Stock History

  • Warehouse: Name of the warehouse this transaction was made from.

  • Transaction: The unique identification number of the transaction.

  • Created: Transaction created date.

  • Committed By: The user caused the transaction.

  • Product: The product's name in the transaction.

  • Supplier Ref: The product's Supplier Ref in the transaction.

  • Internal Ref: The product's Internal Ref in the transaction.

  • Comment: The stock adjustment's comment.

  • Supplier: The product's supplier.

  • Source: The origin of the transaction. Source origins can include the following:

    • Purchase Order number

    • Stock adjustment via importer

    • Stocktake (Stock adjustment or Add stock)

    • Task number

  • Difference: The amount of difference applied in the stock transaction. Positive amounts in green indicate a stock increase, while negative amounts in red - a decrease.

  • Cost Price: Calculated as the unit cost multiplied by quantity in each transaction. Only shows a positive amount, with stock consumption displaying as zero since no cost is added to the ledger.
