How to manage unscheduled routines and re-attendance

This guide covers two specialized workflows: applying unscheduled routines to tasks and managing re-attendance when assets cannot be accessed during the initial visit.

When to Use This Guide

  • Unscheduled routines: When you need to add ad-hoc routine servicing to an existing task

  • Re-attendance: When assets couldn't be accessed during the initial visit and need to be quoted and rescheduled


Apply an Unscheduled Routine to a Task

Use this workflow to add routine servicing to a task outside of the regular scheduled maintenance cycle.

Prerequisites:

  • The task must have a due date set

Steps:

  1. Open your task and navigate to the Work tab

  2. In the Sub-tasks section, click Add routines

  3. Select the unscheduled routines you want to apply from the list

  4. Click Update Routines

  5. Click Work > Re-apply sub-tasks

  6. Review the confirmation screen showing which service tasks will be added

  7. Click Confirm

The routine servicing is now added to your task.


Manage Re-Attendance for Inaccessible Assets

When assets cannot be accessed during the initial visit, use this workflow to quote for re-attendance and set up a follow-up task.

Step 1: Document Inaccessible Assets

For each asset that couldn't be accessed:

  1. Apply a No Test status to the asset

  2. Add a remark explaining why (e.g., "No access - locked room")

Step 2: Create a Defect Quote

  1. Create a Defect Quote

  2. Add all assets with "No Test" status and access remarks to the quote

  3. In the line items, add an attendance fee product for each asset

  4. Send the quote to the client for approval

Step 3: Create and Configure the Re-Attendance Task

Once the quote is approved:

  1. Create a task from the approved quote

  2. Update the task with a due date

  3. Navigate to the Work tab and click Add routines

  4. Select the appropriate unscheduled routine

  5. Click Update Routines

  6. Do not click "Re-apply sub-tasks" at this stage

    • This prevents adding all assets from the routine

    • Only quoted assets should appear on this task

Step 4: Link Routines to Service Tasks

  1. Click Edit (x) service tasks

  2. For each service task, add the appropriate routine to the routine field

  3. Save your changes

The task is now ready for the technician to service the previously inaccessible assets.
