Non-Contracted Servicing Dashboard

Overview of the Non-contracted Routine Servicing dashboard: read the summary table, filter and group services, and create quotes for out-of-contract major servicing such as five-yearly pressure tests.

Setup

You will need the following permissions in your security group:

  • Can update and archive assets

  • Can view defect quotes

  • Can see all tasks

You will need the Non-Contracted Servicing module turned on in your workspace. If you do not see it in your main menu, reach out to [email protected].

  • Levels must be set up as asset-based and non-contracted, and each asset needs a Base Date. See Set up Non-Contracted Servicing.

  • Click here to learn about permissions and security groups.

Dashboard overview

The dashboard shows all non-contracted routine service opportunities available to your business, so you can forecast and quote upcoming out-of-contract services. Navigate to Tools > Non-contracted Servicing to open it. It has a summary table at the top and a filterable list of services below.

Summary table

The summary table lists each asset type and routine service level, with one column for each year. The number in each cell is the count of assets due in that year.

  • Click a number to filter the list below to that asset type, routine service level and year.

  • Click Configure products next to a level to set the default product used when quoting that level.

  • Warning: X assets with no base date appears under an asset type when assets are missing a Base Date. Click the warning to view those assets and update their Base Dates. Assets without a Base Date do not appear on the dashboard.

Filters

Click Filters to show or hide the filter panel. The panel includes:

  • Branch: show services for a single branch.

  • Due Year: show services due in a given year.

  • Due month: show services due in a given month.

  • Status: choose Pending for services without a quote, Quoted for services that have been quoted, or both.

Use Add filter to narrow the list further by Asset Type, Client, Property or Routine service level.

Grouping

Click Grouping and choose Group by Client, Group by Property or Group by Routine Service Type. Choose No grouping to see a flat list. The list is grouped by property by default. Click the arrow next to a group to expand it.

Service list

The list shows the number of non-contracted routine services that match your filters. Each row shows the Status, Asset, Routine Service Type, Routine service level and Due date. Pending rows have a Create quote button at the end of the row.

If assets you expect are missing from the dashboard, see FAQ - Non-Contracted Servicing.

How to create a quote from the dashboard

  1. Navigate to Tools > Non-contracted Servicing.

  2. Use the filters to show the services you want to quote, for example by Due month, Client or Property.

  3. Click Create quote on a Pending row.

  4. In the Create quote dialog, review the Asset, Type, Variant, Routine service level type, Product and Due columns.

  5. If an asset shows No default product, click Configure products in the dialog, select the product, then click Save Product. The Create quote button is unavailable until every asset has a default product.

  6. Click Create quote.

  7. Follow Create and send a defect quote to review, send and approve the quote.

Once the quote is approved and a task is created, servicing is recalculated to the next due date. Technicians complete the major service on the task in the mobile app. For the steps, see Mobile App: Perform major servicing.
