New scheduler experience

Everything the New scheduler experience toggle unlocks: side-panel appointment creation, horizontal calendar, presets, split appointments, recurring non-task events, and scheduler configuration — plus access to AI Scheduling.

How to enable the New scheduler experience

Turning on the New scheduler experience gives you access to everything covered in this article, including AI Scheduling.

Open the Scheduler from the main menu, then turn on the New scheduler experience toggle in the top-right of the scheduler.

Both scheduler experiences are available, so you can switch back at any time by turning the toggle off. When you turn it off, you'll be asked to (optionally) share why — this feedback helps us improve the new experience.


Creating and editing appointments

In the New scheduler experience, appointments open in a side panel on the left of the screen instead of a pop-up window, with the route map shown on the right to optimise the scheduling experience.

In addition, the calendar and map panes can be resized to suit your preference. Hover in the middle for the vertical divider line between the two panes — simply click and drag it left or right to make either pane wider or narrower.


Presets

Presets let you save a combination of scheduler filters and selected technicians, then reapply that view in one click instead of setting it up each time.

There are two types:

  • User presets — only visible to you.

  • Site-wide presets — available to everyone in your company. Useful for enterprise teams who want a standard set of views across the scheduling team.

How to create a new scheduler preset

1. If not preset is selected, click on the calendar "+" icon in the top right corner of the scheduler. Otherwise, click on the dropdown next to the selected preset, then click +Create sitewide preset or +Create preset on the relevant tab.

2. Provide the Name for the preset, for example "Sprinkler inspections".

3. Select your preferred Calendar View (Day, Week, Month) and Calendar Orientation (Vertical or Horizontal).

4. Choose the Preset visibility, should anyone within your workspace have access to this preset or just you: Only me or Name of your organisation.

5. Optionally select the Colour to assign to the preset for easy identification.

6. Set up the Task filters to be applied automatically when this preset is selected, for example Service Group, Task Status, Assigned (Technician) etc.

7. Switch from Details to the Technicians tab, then select whose calendars should be selected when preset is enabled.

8. Click Create.

How to enable or edit the scheduler preset

Click on the dropdown next to the calendar "+" icon or the selected preset, then switch between Sitewide or My presets tabs to find the relevant preset.

  • Click on the preset to enable it, or

  • Hover over the preset name to click on the pencil icon to edit.


Recurring task session

The New Scheduler experience introduces 2 new functionality to Scheduling leave and other events:

  • Checkbox Create duplicate events for all visible technicians - to create the same session for every technician currently shown in the calendar

  • Dropdown Frequency - to make the session repeat with options:

    • Does not repeat

    • Repeat daily

    • Repeat every week day

    • Repeat weekly

    • Repeat fortnightly

    • Repeat monthly

    • Repeat quarterly


Splitting an appointment

Split appointments let you schedule a single task across multiple appointments that automatically fit within a technician's working hours — instead of one long appointment spanning several days, each day's work appears as its own appointment.

When to use it

Use it when a job spans multiple days and you want each day to appear as a separate appointment. A job running Monday to Wednesday produces three appointments, one per day, each aligned to the technician's working hours.

How to create a split appointment

  1. Drag a task onto a technician's day in the scheduler.

  2. Set the start and end date/time to cover the full duration of the work (for example, Monday 8am to Wednesday 5pm).

  1. Tick the Split Appointment checkbox.

  2. Review the preview, which shows how many appointments will be created and their individual durations (for example, "3 appointments — 2 × 7h 30m, 1 × 4h").

  3. Click Create.

  • Splitting is based on the primary technician's work hours and timezone. If no work hours are set, the split may not behave as expected.

  • The date range you set is the boundary — if the start is 10am Monday, the first appointment starts at 10am, not the technician's usual start time.

  • Non-working days (weekends, or days the technician isn't working) are skipped automatically.

  • All appointments stay linked to the same task; each can be edited, rescheduled, or cancelled independently after creation.


Viewing and updating technician details from the calendar

The New Scheduler experience makes it easy to update the technician's depot location and work hours, as well as review their active accreditations.

Click on the name of the user in the calendar view to open the popup window where you can review and adjust the settings. Each section can be expanded or collapsed using the arrow icon.

Depot location

Setting a depot location for your technician tells the Al Scheduler where they start and finish each day, helping it plan the most efficient routes.

To set it up, start searching for the address and select the one from the dropdown list.

Work Hours

Set when your technician is available to work. The Al Scheduler will only schedule their tasks during these hours:

  • Standard working hours: Use standard working hours set on the branch level or the company level

  • Custom working hours: Set custom work hours for the user.

Active Accreditations

Review all accreditations assigned to the user which are active. To edit accreditations, navigate to People > Accreditations, learn more How to manage Accreditations.


Horizontal Calendar

Uptick's scheduler now supports two calendar view types: vertical and horizontal. The horizontal calendar is an additional view — it does not replace any existing vertical calendar views.

You can switch between view types at any time from within the scheduler.

Why use the horizontal calendar?

The horizontal calendar is designed for situations where you need to understand technician availability at a glance — particularly useful for scheduling installation or project work that spans longer time periods.

It is best suited to schedulers who need to:

  • Spot availability gaps across multiple technicians quickly

  • View a team's schedule across a full week or month without excessive scrolling

  • Plan ahead for longer-duration or project-based work

For detailed day-to-day reactive or maintenance scheduling, the vertical calendar views continue to be the best option.

What's available in the horizontal calendar

Day, week, and month views

The horizontal calendar supports day, week, and month views. You can jump directly to a specific day or week by clicking the date headers at the top of the calendar.

Month view note: At month scale, smaller appointments will not be fully readable — this is expected. The month view is designed for high-level availability planning, not detailed scheduling.


Proportional appointment sizing

Appointments are rendered proportionally to their duration. A 15-minute appointment takes up a small slice of the day; an 8-hour appointment takes up most of it. This makes it easier to spot genuine gaps in a technician's schedule.


More technicians visible at once

Because time runs horizontally, each technician's schedule occupies a single row. This means you can see more technicians' full schedules in a single view without needing to scroll vertically — particularly useful in week and month views.

Condensed and detailed schedules

You can view a technician's schedule in more detail by clicking the chevron icon on their header panel. This expands their visible calendar row, making it easier to see overlapping events.


Appointment detail on hover

Due to the proportional rendering, appointment text may be condensed or not fully visible at a glance. Hover over any appointment to see its full details.

Adjustable time window

You can customise the visible time window per day:

  • Toggle between a 12-hour and 24-hour view

  • Show or hide weekends

The horizontal calendar has feature parity with the vertical calendar for appointment selection:

  • Shift + click to select individual appointments

  • Click and drag to select a group of appointments across an area

Tips for getting the most out of horizontal view

  • Use the week view to compare technician availability when planning multi-tech jobs

  • Use the month view for project or installation work where you need to see availability trends over time

  • Switch back to the vertical day or week view when you need to review the finer details of individual appointments

  • Use click and drag to bulk-select appointments efficiently when rescheduling across a day

The Scheduler now has a range of configuration options available to users, most relate to how the AI scheduler can be configured, there is also the option to update the visible information for appointment cards and how they display on the calendar.

Recipes

When the AI Scheduler builds a schedule, there's rarely one single "best" answer, it has to balance things like efficiency, timeliness, and (for longer periods) spreading work out sensibly. A recipe is the strategy you tell the scheduler to use when making those trade-offs, so you can match its approach to what you're actually trying to do.

Balanced (default)

Balanced optimises a technician's single day at a time, finding a good middle ground between route efficiency, tight scheduling, prompt arrivals, and cost (eg. less travelling, more performing). It's the right default for day-by-day scheduling. It can also be used over a longer period, but since it optimises each day in isolation, results can be less consistent over time. That's where Long Schedule comes in.

Long Schedule

Long Schedule is built for scheduling a week or month at a time. Instead of optimising one day in isolation, it looks across the whole period to finish work in as few days as possible while keeping task timing sensible each day — packing work in efficiently with no awkward gaps.

Auto-estimate task durations

Having this setting turned on will automatically apply a task's historic estimate, if a manually set estimated duration isn't available, when AI Scheduling tasks.

Work breaks

Sets aside a break period within a technician's day, eg. a lunch break. So the scheduler won't book tasks over it. You set the earliest it can start, the latest it must finish by, and how long it runs for, and the scheduler fits it into the day within that window.

Depot start & end travel

For technicians with a depot location set, this setting configures how the AI Scheduler treats the first trip of the day (depot → first task) and the last trip of the day (last task → depot). For each one, you choose whether that trip counts as within work hours or outside work hours.

First travel (start of day)
Outside work hours (default) lets the technician start driving to their first task before their work day officially begins, arriving right as the day starts. Within work hours counts travel as part of the work day, so the technician only departs the depot once the day has started.

Last travel (end of day)
Outside work hours (default) means the trip back to the depot isn't counted within the work day and can run past its official end time. Within work hours means the return trip must be completed inside the work day.

Ignore depot locations

The AI Scheduler with build the route without treating the depot as a fixed start/end point, so the technician doesn't need to start or finish their day there.

This is handy if you're wanting to schedule a collection of tasks far away from where your technician traditionally works.

Ignore accreditation requirements

Normally the AI Scheduler only assigns a task to a technician who holds the right accreditations/certifications for it. Turning this option on, allows tasks to be assigned regardless.

Group appointments by property

Turning this option on tells the AI Scheduler to groups multiple tasks at the same property into one combined visit instead of scheduling them as separate trips, one after the other. You can limit this to specific properties, and cap how many appointments can be grouped together at once.

Appointment preferences

Selecting a default category automatically applies the chosen appointment category to every appointment the AI Scheduler creates (eg. once accepted), so you don't need to set it manually each time.

Appointment cards display

This configuration option lets you customise what's shown on each appointment card in the calendar:

  • Choose font size (compact by default, or normal).

  • Choose which fields are visible:

    • task reference and label are always shown,

    • All other rows (e.g. showing client name instead of property name) can be toggled on/off and certain information be changed for these rows.

These display preferences are set at the individual user level and won't affect what other users see on the scheduler.
