Setup and Permissions
Before you can create defect quotes, ensure the following setup and permissions are in place.
Module Activation
The Defect Quoting module must be enabled for your workspace. If you do not see "Defect Quotes" in your main menu, please contact our support team at [email protected] to have it activated.
Required Permissions
Your user account must be assigned to a security group with the following permissions:
- Can see all tasks 
- Can create quotes 
- Can change quotes 
- Can view defect quotes 
- Can view pricing information (to review previous defect quotes) 
- Can create follow-on repair tasks (to create a repair task from an approved quote)

How to Create a Defect Quote (iOS)
- From a task, navigate to the Finalisation tab. 
- Tap Create Defect Quote. - To see previous defect quotes for the property, tap View Past in the top right corner. 
 
- Fill in the Scope of Works and Service Group fields. 
- Only remarks with a product marked as Suggest for Quote will appear. All suggested items are selected by default. You can tap Deselect All to choose specific remarks. 
- Review the remarks and quoted products. If you need to add a general repair item not tied to a specific remark, use the Add product button under General. 
- Tap Submit, then choose to Save as Draft or Create New Task. 
How to Create a Defect Quote (Android)
- From a task, navigate to the Finalise tab. 
- Tap Create Defect Quote. - To view past defect quotes, tap the speech bubble icon in the top right corner. 
 
- Complete the Scope of Works and Service Group fields. 
- Only remarks with a product marked as Suggest for Quote will be available. By default, all items are selected. You can tap Deselect All to select specific remarks. 
- Review the remarks and quoted products. Use the Add product button under General for repairs not associated with a specific remark. 
- Tap Submit, then select Save as Draft or Create New Task. 
Troubleshooting Common Issues
If you encounter problems while creating or managing defect quotes, refer to the common issues and solutions below.
Issue: "Create Defect Quote" option is missing.
If you cannot see the option to create a defect quote, it is likely due to one of the following reasons:
- Incorrect Task Status: Defect quotes can only be created from tasks that are in Performed or Office review status. 
- Missing Permissions: You may not have the Can create quotes permission in your security group. 
- Module Not Enabled: The Defect Quoting module may not be active for your workspace. 
Solution:
- Verify the task status is correct. 
- Ask your system administrator to check your security group permissions. 
- If the module is not enabled, contact support for activation. 
Issue: Remarks are not appearing for selection.
Only remarks that have a product added with the Suggest for Quote option will be available to pull into a defect quote.
Solution:
- Go back to the Remarks tab on the task. 
- Edit the relevant remark and ensure a product has been added and marked as Suggest for Quote. 
Issue: Error "Looks like there are a few wires crossed".
This generic error message can appear for a few reasons, most commonly related to duplicate reference numbers.
- Duplicate Quote Number: The system may be trying to generate a quote with a reference number that already exists. This can happen if the quote sequencing in your Control Panel has been manually changed. 
- Merging Duplicate Remarks: This error can also occur if you merge an old quote into a new one, and both quotes contain the same remark. This creates a duplicate that prevents the quote from being saved. 
Solution:
- An administrator should navigate to Control Panel > Quoting and check the Service Quote Sequence Number. Ensure it is set to the next available number in your sequence. 
- When merging quotes, check that the remarks on the old quote do not already exist on the new quote you are creating. 
Issue: Cannot change the status of a defect quote.
The ability to change a quote's status depends on its current state and your permissions.
- Authorisation Limits: If a quote's value exceeds your assigned authorisation limit, you cannot submit it. A message "This quote will need to be authorised before it can be submitted" will appear. 
- Incorrect Permissions: You may be missing the Can change quotes permission. 
- App Data Sync: Sometimes the app's local data may be out of sync, preventing status changes. 
Solution:
- For authorisation limits, the quote must be reviewed and approved by a user with a higher limit. Alternatively, an admin can adjust your limit under Control Panel > Accounts > User Accounts. 
- Confirm with your administrator that you have the "Can change quotes" permission. 
- Try resetting your app's filters or logging out and back in to refresh your data. 
Issue: Quote appears blank or without line items after being saved.
This can happen if the quote was finalized before the line items were properly saved.
- Saving Issue: A user adds items to a quote but changes the status to "Finalised" without first clicking Save Line Items. The items remain in the user's local browser cache but are not saved to the server, making the quote appear empty to other users. 
Solution: Always ensure you click Save Line Items after adding or editing products on a quote before changing its status. If a technician in the field is populating a draft quote, they must save their changes for office staff to see them.
